Your Role

You'll collaborate with our team of architects, planners, and developers to support the administrative infrastructure that allows our creative work to thrive. Whether you're managing contracts, supporting human resources functions, or maintaining our project databases, your attention to detail and organizational skills will directly impact our firm's success.
What You Will Do
Contract & Compliance Management
- Maintain contract database and tracking system
- Process new contracts and renewals, ensuring proper documentation
- Manage firm-wide licensing and registration requirements
- Track license renewals and continuing education requirements
- Prepare and submit regulatory documentation
- Ensure compliance with industry regulations
Financial Operations
- Process vendor invoices and expense reports
- Manage client billing and payment collection
- Reconcile financial transactions
- Support monthly financial closing processes
- Manage company insurance policies and renewals
- Process insurance claims and maintain records
Project Administration
- Organize and maintain project databases
- Generate reports and analytics on project performance
- Support project teams with data needs
- Implement and maintain data management systems
Office Management
- Oversee the day-to-day functioning of the office
- Maintain office equipment and coordinate facility maintenance
- Ensure adequate office supplies are available
- Ensure a safe and clean work environment
- Review and update office policies as necessary
Vendor Relations
- Liaise with the legal team for contract reviews when necessary
- Coordinate with insurance providers
- Ensure appropriate coverage levels are maintained
- Manage relationships with key service providers and vendors
Your Qualifications
- Bachelor's degree preferred; High school diploma or equivalent required
- 2-3 years of experience in administrative or operational support roles
- Strong proficiency in Microsoft Office Suite
- Knowledge of basic accounting principles
- Excellent organizational and communication skills
- Detail-oriented with ability to prioritize multiple tasks
- Experience in the architecture or design industry a plus

Compensation & Benefits
- Salary Range: $45,000 - $55,000 annually (commensurate with experience)
- Classification: Full Time
- FLSA Status: Non-Exempt
- Travel Requirements: Minimal (0-25%)
