Job Summary:
We are seeking a very detail-oriented Administrative Assistant to join our business center team. The ideal candidate will provide administrative support to numerous virtual business and in-house clients including office tasks, telephone answering, front desk customer service and data entry.
Duties:
- Greet all guests at the front desk with a welcoming and friendly demeanor and direct them to appropriate client or location
- Assist in-house clients and new clients with booking reservations for meetings and office use
- Perform general clerical duties including scanning, copying, faxing, and filing
- Accurately sort, forward and distribute mail including packing and shipping outgoing shipments
- Answer multi-line phone system, screen incoming telephone calls, take and deliver messages, appropriately respond to client requests and refer calls to appropriate staff
- Be responsive to emails with proper grammar and spelling
- Be knowledgeable of the company’s services and be able to share information with potential clients over the phone and in person
- Conduct data entry tasks with a high level of accuracy
- Manage office supplies inventory and place orders when necessary
Skills:
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent communication skills, both written and verbal.
- Familiarity with office equipment such as printers, scanners, and postage meters
- Ability to handle sensitive information with discretion, confidentiality and good judgment
- Experience in file management and record keeping.
