Company Overview: Point Forward Hospitality is a new and growing company, based in downtown Mount Vernon, WA. We currently manage boutique hotels and timeshare condominium properties, and we are seeking a detail-oriented Administrative Assistant with experience in real estate association management.
Job Summary: The Administrative Assistant of Association Management is responsible for maintaining a professional rapport with all team members, guests, with is especially attuned to timeshare owners of multiple condominium associations.
The position requires a high degree of responsiveness, focus, and urgency in the delivery of information requests and in response to questions and comments.
The Administrative Assistant attends Board Meetings, and assists in compliance with governing documents, government regulations, keeping track of ongoing goals and objectives. They work collaboratively with our onsite and administrative management teams to disseminate information, and to ensure clients’ satisfaction through the continuous improvement of operating practices, all in a highly professional manner.

Administrative Support:
- Provide administrative support to multiple condominium associations.
- Ensure client and association member satisfaction by handling all incoming calls and emails, and maintaining accurate records.
- Gather documents, and draft/distribute communications, and assist to maintain our owner web portal.
- Attend client Board meetings and take meeting minutes (some evening attendance is required).
- Coordinate owner requests of various forms, and work within our process to provide professional responses and support.
- Serve as backup for our reservations team, such as reservation system entry, pre-arrival support, send confirmation emails, and related functions.
- Assist with social media and digital marketing.
- Assist the accounting team with owner accounts payable and receivable, and related work.
- Collaborate with other departments to support overall business operations.
Qualifications:
- Experience: Experience in the hospitality industry is highly preferred.
- Knowledge: Working knowledge of condominium association governing documents and related laws is a plus.
- Skills:
o Proficient in Microsoft Office products and social media platforms.
o Exceptional written and verbal communication skills, including strong telephone etiquette.
o Excellent analytical and problem-solving skills.
o Well-organized and detail-oriented.
- Abilities:
o Able to work under pressure and motivated to overcome challenging situations.
o Able to work independently and manage multiple tasks.
o Able to occasionally attend client board meetings after normal business hours.
o Able to attend WSCAI events and other relevant training as assigned.
Job Type: Full-time
Pay: $20.00 per hour
Expected hours: 32 – 40 per week
