Pollination is looking for an Executive Assistant to join our dynamic office in Sydney.
This position will predominantly support two senior leaders in the organisation; ensuring that their objectives are supported through seamless and efficient administrative support. The scope of the role will be diverse – from liaison with high-profile international stakeholders and managing busy diaries to organising events and media opportunities.
Strong teamwork and a ‘can-do’ attitude are essential for this role – it’s all about being hands on!
Key responsibilities will include:
- Providing high level executive assistance to two Managing Directors including organisational support to their business priorities, calendar and meeting management, and overseeing correspondence
- Organising complex travel arrangements with detailed itineraries
- Preparing draft documents, maintaining electronic files and CRM
- Managing client end-to-end onboarding / offboarding processes, including oversight of contracting, filing, supplier and vendor management.
- Supporting the management and integrity of Salesforce data
- Support the coordination of regular reporting to Management Teams.
- Assisting with the creation of presentation materials including coordinating resources, summarising and reviewing content
- Being a point of contact for your Managing Directors teams, and providing support where required
- Expense management

Who we’re looking for
Essential skills:
- Excellent verbal and communication skills at all levels
- Excellent proficiency with MS Office suite,
- Knowledge of Microsoft Teams & Salesforce would be preferable (training will be provided)
- Excellent level of attention to detail and organisation skills
- Ability to multi-task, prioritise and be accommodating in support of competing demands
- Understand and appreciate the importance of confidentiality
- Be a strong team member with a high level of loyalty, resilience and enthusiasm.
Hours
Full-time with the flexibility to work outside of standard office hours when necessary.
