Description for Purchasing Clerk:
The Purchasing Clerk is responsible for assisting buyers in general purchasing functions to obtain supplies, equipment, and services for Poly-Med, Inc, along with participating in quality assessments and continuous quality improvement activities. Performs all job duties and responsibilities in a courteous and customer-focused manner. Works under the general supervision of the Senior Buyer, who reviews and inspects work for effectiveness and conformance to the established standards and procedures.
Key Responsibilities:
- Effectively assists senior buyer and planning coordinator in maintaining adequate operating supply levels in the facility.
- Responsible for majority of company ordering, receipt, delivery and tracking, with the exception of raw materials.
- Evaluate and facilitate approval on all items placed on the requisition tool. Coordinate any purchasing discrepancies or variances with all parties involved.
- Obtain correct pricing via website or vendor for quote prior to creating PO.
- Place orders with suppliers or vendors, and data entry for new purchase orders into the ERP system.
- Frequent email and phone contact with co-workers, external vendors, and shippers.
- Ensure accuracy and timeliness of all invoice and purchase order processing.
- Designated liaison between purchasing, accounting, and inventory to rectify any discrepancies between purchase orders and received goods.
- Responsible for adding contract savings into cost savings report on a regular basis.
- Responsible to track POs for full receipt over time and follow-up with incomplete or missing orders.
- Performs additional duties as assigned by management.
Skills and Qualifications:
Required: High School or equivalent.
Preferred: Planning/purchasing/supply chain experience preferred
Preferred Internal Candidates will have:
- Strong attention to detail and the ability to follow documented procedures
- Experience in a manufacturing environment with the ability to understand and develop process flows.
- Ability to operate and be effective with a minimum level of direct supervision.
- Ability to work effectively with time pressures and multiple changing priorities.
- Ability to communicate effectively with all levels of the organization.
- Strong math skills and computer skills, primarily MS Excel and Word as well as ERP systems.
Environmental Requirements:
Must be able to adapt to multiple indoor work environments (shared office space, shared lab space and production areas).
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
Must be able to manipulate equipment for validation testing.

Lifting as required with proper lifting techniques up to 50 pounds on occasion. Specific vision abilities required by this job include close vision and ability to adjust focus.
