What are the responsibilities and job description for the Administrative Assistant position at Portage County Ohio?
JOB OBJECTIVES: The incumbent is responsible for providing clerical and bookkeeping support and customer service for the Veterans Service Office. The incumbent reports to the Office Manager.
ESSENTIAL JOB FUNCTIONS:
- Greets clients, answers and directs telephone calls in a courteous and respectful manner.
- Tracks calls, faxes, outgoing mail and claims on the phone log.
- Verifies vacation, sick and personal time.
- Prepares minutes for Commission meetings.
- Attends Commission meetings.
- Creates initial VetraSpec database files.
- Tracks driver’s meal tickets for reimbursement.
- Picks up and distributes incoming and outgoing mail; Checks Directors in/out boxes for documents.
- Provides complete back-up to the Office Manager on bill-paying procedures including purchase orders, voucher preparation and tracking, establishes/updates vendor files, and works with the Purchasing Department and County Auditor.
- Makes entries in daily contact reports, VA awards, daily calendars, and transportation sheets, prints reports as applicable.
- Orders, receives and distributes, marriage, death certificates and military discharges; sends/receives military discharges to/from the County Recorder.
- Coordinates special transportation needs with the drivers and Office Manager and keeps the Office Manager apprised of transportation and vehicle issues based upon drivers' input.
- Provides general clerical support.
- Processes payroll in MUNIS.
- Verifies vacation, sick and personal hours.
NON-ESSENTIAL JOB FUNCTIONS:
- Performs related Essential and Non-Essential functions as needed.
- Performs records retention activities for general office files and prepares required records.
- Orders Department of Veterans Affairs forms and pamphlets.
