Administrative Assistant

Purpose of Class
Performs administrative support for Adult and Juvenile Probation & Pretrial Department; performs related work as required.
Primary Function
This is an administrative support position with the principal function to provide administrative support to the Adult and Juvenile Probation & Pretrial Department in areas such as coordinating support functions, setting priorities, answering phones, assisting the public, creating and maintaining filing and spreadsheets, entering data into various software programs, maintaining clerical records and logs, gathering information, providing statistics as required, typing, monitoring budget and calendar, preparing for and recording meetings, and researching documents. Duties may include typing and preparing correspondence and documents using various software applications; composing responses, maintaining files, records and documents, keeping clerical records, logs, ledgers, etc. and working within department specific processes and procedures. The work is performed under the supervision of the Probation and Pretrial Director, with considerable latitude for the exercise of independent judgment and initiative. The principal duties of this class are performed in a general office environment.

· Answers incoming phone calls, greets the public, assisting and providing referrals to other departments or staff as needed;
· Provides data entry services, faxing, typing, and filing;
· Creates, transcribes, types and proofs files, memos, letters and documents of a confidential nature;
· Schedules and coordinates with office personnel various appointments as required; Microsoft Outlook experience preferred;
· Assists with random drug and blood alcohol (BAC) breath tests as needed;
· Monitors and updates caseloads for changes of address, employment, phone number, and other required information;
· Supervises and maintains records for caseload of unsupervised defendants;
· Creates, maintains, and closes County files, records and documents including projects and programs;
· Utilizes computer systems for retrieving reports from/for police and other authorized agencies;
· Researches and prepares warrants and affidavits for probation violations and enters data.
· Coordinates and transfers cases between other Idaho County Probation departments with appropriate personnel;
· Coordinates projects and meetings with various County personnel;
· Operates standard and specialized office equipment such as computer, copier, scanner, web-camera, drug and alcohol testing equipment, fax machine, and related equipment;
· Picks up, sorts, and routes mail to appropriate parties;
· Calibrates Alco-sensor as requested;
· Prepares letters, petitions, temporary restricted permits for defendants per Department procedures;
· Researches Department of Transportation (DOT) records for eligibility and researches insurance and registration requirements;
· Accepts and documents payments received for non-statutory costs, processes according to Department policy and procedures, and routes to appropriate personnel;
· Manages office supply purchasing and repair of office equipment;
· Uses computer to research documents, obtain information or enter data;
· Reliably gather and disseminate information necessary for the efficient functioning of Probation & Pretrial staff;
· Create and maintain Excel spreadsheets to track and gather information as well as all other data systems;
· Provide accurate information, data entry and the ability to function within Odyssey, iCourt Portal, iCourt File and Serve, Excel, and or any other data tracking systems for statistical outcomes and evaluation;
· Maintain accurate and up to date information for all community service providers within the community and provide information to clientele as necessary;
· Gather information for creating statistical and financial reports through the Odyssey data system for the Probation & Pretrial department;
· Manages and oversees compliance for record check cases;
· Create and maintain department policy and procedure manuals;
· Research Idaho State iCourt Portal records and Spillman records for criminal history/new charges;
· Performs all work duties and activities in accordance with County policies, procedures and safety practices.

Acceptable Experience and Training
· High school diploma or GED equivalency is required and technical certificate in secretarial science, general business, or a related field is preferred;
· Two (2) years of responsible office experience providing administrative processes and complex secretarial duties or;
· Any equivalent combination of experience and training which provides the knowledge and abilities necessary to perform the work.
Special Qualifications
· Bilingual Spanish-English preferred
· Idaho driver’s license is required.
