JOB SUMMARY

The Special Programs Coordinator’s responsibility is to manage, plan, and support the success of special programs, various events, field trips and school-wide initiatives at Prairie Seeds Academy. He/she will work directly alongside the Operations Manager (OM) and Associate Director (AD) to create engaging and successful programs that support the school's mission and goals. He/she will coordinate annual school-wide programs, field trips, and fundraising initiatives. He/she assists with the operational workflow of the team. This role requires creativity, strong organizational skills, and the ability to work closely with faculty, staff, students, and external partners to create engaging and successful programs.

ESSENTIAL FUNCTIONS:

Duties of this job include, but are not limited to:

Special Events

  • Organize and coordinate school-wide special events (e.g., staff appreciation days, talent shows, school assemblies, health screenings, prom, picture day, field day, etc…).
  • Ensure events are well-executed from conception to completion, including securing venues, coordinating logistics, and managing budgets.
  • Collaborate with teachers and school administrators to align events with school goals.
  • Collect and track event and field trip requests.
  • Review and obtain approval from AD for events and field trips and communicate to appropriate parties.
  • Record in calendar events, field trips, fundraisers and various school-wide activities and initiatives.
  • Create, track, and inventory items for purchase as necessary.
  • Assist with the creation of the school’s yearbooks.
  • Collect, review, and obtain approval for professional development requests.

Administrative Support

  • Greet, welcome, and follow documentation procedures for all students, families and visitors.
  • Maintain and cover the front desk as needed
  • Answer incoming calls and route them to the appropriate departments or personnel.
  • Document, evaluate, and assist all students sent to the office for medical/health attention and notify the appropriate staff.
  • Create and distribute all outgoing flyers to families. i.e. early releases, no school days, parent nights, school events, etc…
  • Check school voicemail daily and distribute messages appropriately.
  • Clean, sanitize and organize the main office and furniture daily to maintain a professional and inviting atmosphere.
  • Assist with student registrations and data entry
  • Track, update, and communicate student attendance and absences daily.
  • Assist with administrative tasks such as completing copies and faxes
  • Oversee all student office assistants; assign and delegate duties to students
  • Perform other duties as assigned

SKILLS/QUALIFICATIONS

  • High School diploma required. B.A. degree preferred
  • 3 or more years of customer service experience preferred
  • Proficient technology skills in MS Office and other software/programs
  • Excellent written and verbal communication skills
  • Organized and detailed oriented
  • Able to multi-task in a fast-paced environment
  • Able to work well under pressure
  • Bilingual/Multilingual preferred
  • Passionate about working with students
  • Be committed to professional growth and development
  • Serve as a role model for promoting effective citizenship and professionalism
  • Demonstrate respect for children, colleagues, parents and school leadership
  • Ability to work independently and collaboratively in team environment

Job Type: Full-time

Pay: From $18.00 per hour
