Position Overview
We are seeking a reliable and detail-oriented Medical Records Courier / Genetic Testing Rep to ensure the safe, timely, and confidential transportation of medical records and documents between healthcare facilities, clinics, and other locations while supporting genetic testing processes. The ideal candidate will be responsible for managing the logistics of transporting sensitive patient information while ensuring compliance with confidentiality agreements, HIPAA regulations, and company policies.
Essential Job Functions
Please list the essential (major) job responsibilities :
Transport Medical Records : Safely deliver and pick up medical records, patient files, and other confidential documents between hospitals, clinics, doctor's offices, and other healthcare providers.
Confidentiality & Compliance : Adhere to all HIPAA regulations and privacy laws while transporting sensitive medical information. Ensure that all records are securely handled and protected from unauthorized access.
Documentation & Tracking : Maintain accurate records of deliveries, pickups, and signatures as required by medical facilities. Ensure proper documentation is completed and submitted promptly.
Vehicle Maintenance : Maintain a clean and safe vehicle for transporting documents, ensuring the vehicle is in good working order, and keeping it stocked with necessary supplies.
Timeliness : Ensure that all deliveries and pickups are completed on time according to a defined schedule.
Customer Service : Provide excellent customer service when interacting with healthcare professionals and staff members at various facilities.
Problem Solving : Address any issues related to deliveries, such as delays, miscommunication, or missing documents, and resolve them promptly.
Essential Job Functions for Genetic Testing
Insurance Verification / Authorization : Submit prior authorizations to labs to obtain or directly through platforms designated, verify coverage, benefits, and out-of-pocket costs for patients, verify eligibility of patients, appeal denials, communicate with patients about denials, costs, and coverage.
Patient Coordination : Establish positive relationships with patients, obtain additional clinical information when required for coverage, communicate with patients about the testing process, scheduling appointments, sample collection, and results.
Referring Relationship : Build relationships with referring offices to obtain written orders in a timely manner and answer questions about the genetic testing process.
QA : Review documents prior to being sent to the lab for qualifications, assist with filling out all necessary paperwork (medical necessity forms, TRFs, attestation, etc.).
Updating Log : Maintain a master sheet of patients and ensure it is being updated daily for clear visibility of each patient's status.
Laboratory Communication : Communicate with multiple labs to ensure they have the necessary information and resources to process samples.
Non-Essential Job Functions
Assist with collecting samples if required.
Updating the system for Navigators when needed.
Respond to emails.
Requirements
Education Required
High school graduate or equivalent.
Previous Related Work Experience Required
Previous experience in a courier or delivery role is preferred, particularly within healthcare settings.
Other Skills / Abilities
Strong attention to detail and organization.
Ability to maintain confidentiality and manage sensitive information securely.
Excellent communication skills.
Time management and punctuality.
Ability to use basic technology (e.g., mobile devices, GPS, and tracking systems).
Licenses / Certifications : Valid driver’s license with a clean driving record.
Physical and Working Requirements of the Position
Ability to lift at times greater than 25 lbs.
Extended sitting and standing.
