What are the responsibilities and job description for the Procore Administrator / Construction Management Coordinator position at Preload?
As the Procore Administrator / Construction Management Coordinator, you will be assisting the Vice President of Construction Management and Construction Management Department in the coordination of construction operations. You will coordinate information with all departments to ensure timely, thorough, and productive construction starts. The successful candidate will be highly organized, detail-oriented, and have the ability to multi-task as well as prioritize. Pay starts in the $55K range, depending on experience.

- Project setup in Procore project management software
- Coordinate/communicate with all departments (Estimating, Sales, Engineering, CM, Field Operations and Shop) to ensure critical items are completed in a timely manner for timely and productive job starts
- Review Contract/Specification Documents to identify Insurance/Bond requirements, payment/SOV terms, Change Order procedures and project deliverable requirements for the Project Manager
- Assist CM Group in tracking Change Orders
- Assist VP of CM in maintaining Preload Project Schedule
- Support CM Group in maintaining electronic files on the network
- Support CM Group in project close outs
- Coordinate Preload Project Schedule changes with all departments (Engineering, CM, Field Operations and Shop) to ensure adequate time to adapt to changes in the workflow
- Support the Construction Management Team in developing, setting, and executing department goals to support Preload's Mission Statement
- Assist VP of CM in writing and communicating best practices to the Construction Management Department
- Assist VP of CM with updating the internal Construction Management procedures document, as needed
- Coordinate with Construction Management Team to schedule team meetings and provide follow-ups
- Assisting CM Group with completing reports, Power Point presentations and other projects as needed.
- Store, file and retrieve corporate documents and reports, as needed
- Perform general office administrative duties, including maintaining logs and spreadsheets for all office activities.
- Coordinate activities such as workshops and meetings
- Organize meetings, arrange travel, manage records, and monitor expenses
- Organize, maintain, and track project files and correspondence
- Handle day-to-day clerical items such as mail, phones, and invoices
- Ability to compose professional business-related correspondence
- Create and maintain reports and information in various databases
- Manage applications for awards, utilities, signage, permits, etc.
- Order office supplies and materials
- Assist with submittal development and management
- Perform any other duties as assigned
- Bachelor's degree in Construction or Project Management preferred
- Procore or other project management software experience preferred
- Experience with or ability to learn scheduling software such as Primavera P6 or Microsoft Project preferred
- Proficient in MS Office including Excel
- Ability to work in a fast-paced and fluid environment
- Works well under pressure and aggressive deadlines
- Ability to be proactive and make good decisions

Salary : $55,000
