Position Overview
The Admin Coordinator – Irrigation Department is the backbone of our irrigation operations, ensuring that all administrative functions are carried out efficiently and accurately. This role supports the scheduling, record keeping, and communication efforts of the department, acting as a liaison between field teams, Account Managers, and upper management. The ideal candidate is organized, detail-oriented, and adept at juggling multiple tasks in a fast-paced environment.
Job Duties
Daily Coordination & Communication:
- Update organizational charts and manage daily schedules based on completed tasks and emergencies.
- Lead team briefings and huddles to communicate project updates and departmental news.
- Serve as the primary contact for reporting issues, ensuring clear and timely communication across teams.
Administrative Operations:
- Review and update timesheets, ensuring accuracy with technician and Production Manager input.
- Maintain and manage electronic records, including work orders, inspection tickets, and project documentation (e.g., Aspire).
- Oversee the cleanup and management of work orders, ensuring that repair, inspection, and pre-approved tasks are processed and closed out promptly.
Client & Vendor Relations:
- Act as a liaison between Account Managers, Production Managers, and the Irrigation team, conveying project updates and scheduling changes.
- Address client inquiries and concerns regarding irrigation projects professionally and efficiently.
- Provide regular status reports to upper management regarding service calls and project progress.
Support Functions:
- Assist in HR and payroll tasks by maintaining employee records and tracking work hours and attendance.
- Monitor and manage office supply inventory, submitting orders as needed.
- Support invoicing and database administration tasks, including preparing work orders and estimates in Aspire.
Qualifications
Required:
- Bilingual Spanish required
- High School Diploma or GED equivalent
- Experience in administrative coordination; familiarity with the irrigation, landscaping, or construction industries required
- Proficiency in Microsoft Office (Word, Excel, Outlook) and experience with scheduling/electronic record systems (e.g., Aspire)
- Excellent organizational, time management, and communication skills
Preferred:
- Associate’s or Bachelor’s degree
- Ability to thrive in a fast-paced, multitasking environment
