Job Summary
The Facilities IT Specialist is responsible for directing and managing projects from start to finish including initiation, planning, execution, monitoring and controlling, and closing the project as outlined in the description below.
Supervisory Responsibilities:
- Organizes and oversees the schedules and work of department supervisors as assigned.
- Ensures supervisors manage their departments efficiently and in accordance with departmental goals.
- Conducts performance evaluations that are timely and constructive.
- Handles discipline and termination of employees as needed and in accordance with company policy.
Key Responsibilities:
- Defines project scope, goals and deliverables that support business goals in collaboration with senior management and stakeholders
- Develops project plans and associated communication documents including Project Charters Manages and oversees the work of Business Systems Analysts
- Effectively communicates project expectations to team members and stakeholders in a timely and clear fashion
- Manages client relationships to ensure the appropriate level of participation
- Manages vendor relationships and resources to ensure effective execution of the project Develops and manages project budgets
- Identifies and manages project risks as well as issues that arise and the action items required to resolve them
- Plans and schedules project timelines and milestones using MS Project and track project milestones and deliverables
- Develops and delivers project status reports
- Coaches, mentors, motivates, and supervises project team members (employees, contractors, and vendors) and influences them to take positive action and accountability for their assigned work
- Conducts project post mortems and creates recommendations in order to improve execution of future projects
- Performs other duties as assigned
Required Skills/Abilities:
- Experience having managed at least one project from inception through implementation
- Experience working closely with project stakeholders including clients, users and management to coordinate work efforts across multiple groups to ensure that project goals are met within the established timeframes
- Experience defining technology solutions to business problems with input from business subject matter experts leading to the creation of Project Charters to support initiation of Projects
- Develop work estimates, work breakdown structures and the project work plan; prepare a consolidated work plan for initiatives that involve multiple related projects
- Strong conflict resolution, negotiating and influencing skills
- Experience with standard set of practices that ensure the integrity and quality of project deliverables
- Experience in preparing and implementing test plans
- Managing successful, large-scale IT projects, that include software analysis, design, development testing and implementation
- Working with User Acceptance Testing methodologies and documentation in large complex and heterogeneous technical environments
- Using project planning tools such as MS Project to track and maintain project plans, work breakdown structures and timelines
- Creating and presenting internal and external status reports and detailed status reports suitable for presentation Project Steering Committee and senior management
- Leading the project technical and operational team, facilitating the project meetings and maintaining the project objectives through effective project management skills
- Delivering the project deliverables within the agreed schedule, to the correct technical specification, i.e., defined to meet user requirements, and within the approved budget and other specified criteria
- Excellent written and verbal skills

Education and Experience:
Required:
- Seven (7) years full-time paid professional industry experience preferably in an educational facility or public works projects
- Four (4) years of experience in business analysis and understanding business processes
- Three (3) years of Project Management experience in the role of Project Manager
- Graduation from a recognized college or university with a bachelor’s degree. A bachelor’s or master's degree in engineering, computer science, information technology or systems engineering is preferred
Preferred Experience:
- AEC industry experience strongly preferred; LAUSD experience preferred
- Project Management Professional (PMP) preferred
- Relational Database Management Systems, e.g. Oracle, SQL Server, Sybase
- Reporting Tools, e.g. BIRT, Tableau, Crystal Reports, Actuate, or others
- Programming Languages, e.g. Java, C, C , Open ACS, Oracle PL/SQL
- Programming Procedures, e.g. ASP, TCL, JSP, PHP, PYTHON
- Report Development Tools, e.g. Toad, Business Objects/Crystal Reports, Oracle APEX, or other Agile Development Tools
- Data Modeling

Working Conditions
This position is 100% on-site in our client’s office location; work schedule to be determined by supervisor. The physical demands described here are representative of those that must be met by an employee to successfully perform the primary functions of this job. While performing the duties of this job, the employee is frequently required to move about the inside and outside of the location to access office equipment, etc. The person in this position frequently communicates with employees and must be able to exchange accurate information in these situations. Constantly operates a computer and other office machinery, such as a computer, copy machine, etc.
