Role:
The ideal candidate will maintain a positive attitude in all interactions with building tenants, owners, service providers, and co-workers. Strong organizational, analytical, and communication skills are essential. This individual will be the "face" of the building and must exhibit excellent customer service skills. The ability to multitask and prioritize workflow effectively is required.
The candidate will support the property management team in administrative tasks, tenant relations, and reporting. Responsibilities include serving as the primary point of contact for tenant service requests across a portfolio of properties, assisting in the preparation of operational and financial reports, and ensuring efficient office administration.
Essential Job Duties:
- Assist Property Managers with administrative tasks, including drafting memoranda, letters, and proposals using company software.
- Develop, organize, and lead tenant events ranging from small gatherings to large-scale functions.
- Manage tenant service requests, delegate tasks to property service technicians, and follow up as needed.
- Compile and maintain reports, including vendor insurance certificates, service agreements, invoices, emergency call lists, and tenant contact records.
- Coordinate service contracts and vendor relationships.
- Organize and maintain property files, scanning systems, and document tracking.
- Support budget preparation by gathering necessary information.
- Process and administer vendor invoices, property taxes, and other payments.
- Schedule and coordinate meetings, manage tenant reservations for training and conference rooms, and assist with room setup and technology use.
- Assist with tenant billing and collections, including monthly rent and other receivables.
- Oversee office operations, including copying, scanning, mail distribution, and ordering supplies. Coordinate service and repairs for office equipment as needed.
- Perform additional duties as assigned.
Skills, Education, and Experience:
- Bachelor’s Degree or High School Diploma/GED.
- Proficiency in MS Word, Excel, and email communication.
- Familiarity with internet research techniques.
- Ability to work independently with minimal supervision.

Salary : $50,000 - $56,000
