Job Description

The position of Office Administrator for Prince of Peace Lutheran Church (PoP) serves the members and mission of the church by being the primary, first contact for the total ministry. The Administrative Assistant is to work with church members, coworkers, ministry families, and business affiliates to advance communication and facilitate the ministry and mission of Prince of Peace Lutheran Church.

The Administrative Assistant will contribute to a positive, friendly working atmosphere supporting the mission. PoP’s Administrative Assistant will be required to maintain confidence and ethical conduct in the performance of the duties described below.

Status & Reporting

  • The Office Administrator is a non-exempt, part-time, in-house position.
  • The Office Administrator is accountable directly to the Board of Directors.
  • Current hours are Monday to Friday, 9:00 AM to 3:00 PM with a 30-minute lunch break. These hours may be amended as necessary, for different seasons throughout the year. No overtime is allowed or necessary unless previously approved.

  • Excellent verbal & written communication skills, organizational skills, and attention to detail.
  • Proficient in using office software including, but not limited to: all Microsoft Office 365 Applications (Word, Xcel, PowerPoint, Publisher, SharePoint, Outlook), Adobe Acrobat, Google, and Servant Keeper).
  • Oversees telephone services, email correspondence, and mail arrival; prepares and delivers messages to appropriate individuals; notifies pastoral staff or elders of hospitalizations, deaths, etc.

Competencies

  • Must be able to pass a background check and a skills test regarding the necessary skills required for the position.
  • Ability to type at least 45 words per minute.
  • Position requires occasional lifting up to 50 pounds and/or prolonged sitting or standing.
  • Works independently without supervision which results in effective work processes.
  • Proficient in the operation of office equipment including, but not limited to: Windows computer, copier/printer/fax machine, scanner, phone & voicemail system.
  • Detail-oriented, able to proofread, edit, and produce accurate reports and communications.
  • Maintains inventory of office and church supplies; orders new supplies as needed.
  • Performs other related duties as assigned.

Administrative Tasks

  • Maintain church records of attendance, membership directories, and all associated data. Implement an efficient system for other staff to access files and records.
  • Prepare, print, and distribute correct weekly bulletins, reader handouts, PowerPoints, and monthly newsletters. Prepare digital media in an effective, accurate, and timely manner.
  • Produce accurate reports related to church membership records using provided relational databasing software. Ensure each member is assigned a church mailbox.
  • Manage calendars and schedules for weekly service volunteers, such as readers, ushers, counters, acolytes, etc., church events and meetings, and facility rentals. Coordinate visitation schedules and other appointments for the pastor, as needed.
  • Maintain an accurate record of facility usage and rentals for Prince of Peace gym and other facilities. Inspect for facility damages and report any required damage repair or maintenance.
  • Maintain an accurate record of keys issued for the building on behalf of the Board of Directors and Elders.
  • Serve as a source for general information that effectively communicates the ministry to all interested parties.
  • Assist in performing regular updates and announcements to social media, messaging platforms, and Ministry websites (e.g., Meta or Google Business Accounts).

Job Type: Part-time

Pay: $14.00 - $17.00 per hour

Expected hours: 20 – 32 per week

  • Weekends as needed
