We are seeking a highly organized and detail-oriented Administrative Operations Coordinator to serve as the central hub for our operational and administrative functions. This role ensures seamless communication and system updates across client platforms, internal service systems, the call center, and finance. The ideal candidate will be proactive in monitoring client systems, keeping internal platforms accurate, and maintaining operational alignment with our management team.
Key Responsibilities
System & Data Management
- Maintain and update client systems such as ServiceChannel, Nuvolo, Corrigo, and other platforms.
- Ensure ServiceTitan and all internal PFS systems (D365, UKG, etc.) are accurate and up-to-date.
- Act as the primary liaison between operations and the call center, ensuring proper coordination and data flow.
- Regularly audit system data for accuracy and compliance with company and client requirements.
Operational Coordination & Communication
- Work in lockstep with the operations management team to stay informed on field activities and ensure updates are reflected in all necessary systems.
- Facilitate seamless communication between operations, the call center, and finance to ensure workflow efficiency.
- Monitor service requests, work orders, and client updates, ensuring all stakeholders are informed of any changes.
- Track and escalate operational issues or system discrepancies as needed.
Process Improvement & Compliance
- Identify opportunities to streamline administrative workflows and improve system efficiencies.
- Ensure compliance with client and company policies in all system updates and reporting.
- Support reporting and data analysis to help leadership make informed business decisions.
Qualifications
- 3 years of experience in administrative operations, service coordination, or a similar role.
- Proficiency in ServiceTitan, ServiceChannel, Nuvolo, Corrigo, D365, UKG, or similar platforms preferred.
- Strong organizational skills and attention to detail.
- Excellent communication and collaboration skills.
- Ability to multitask and prioritize in a fast-paced environment.
