Job Description

Summary / Objective

The Investment Operation Specialist supports the Prodigy’s portfolio management and client service functions by ensuring the accuracy and efficiency of portfolio accounting, client transactions, compliance testing, and operational processes. This role is responsible for maintaining records, coordinating client and investment manager communications, managing IT and vendor relationships, and upholding the firm’s regulatory and operational standards. The ideal candidate will bring exceptional organizational, analytical, and communication skills, along with a proactive approach to learning and problem-solving, to contribute to the firm's commitment to providing excellent service and ethical practices.

Essential Functions

  • Updates and maintains recordkeeping as necessary in the portfolio accounting system according to internal control and / or regulatory requirements.
  • Processes client transactions, including asset transfers, journals, wires, ACHs, and capital calls in a timely and accurate manner.
  • Coordinates with the operations team to ensure timely execution of client requests.
  • Coordinates execution of new investments’ legal agreements and completes subscription agreements and other documents as needed.
  • Prepares, edits, and assembles client presentations, reports and other documents.
  • Tracks receipt of audited financial statements and tax statements from external investment managers and delivers them to clients.
  • Maintains and updates client databases, ensuring data accuracy and confidentiality.
  • Manages the relationship with the outsourced IT provider and ensures the firm’s IT issues / needs are being handled. Maintains the firm’s IT inventory.
  • Manages and tracks the investment manager operational due diligence process.
  • Responsible for the vendor due diligence program.
  • Conducts monthly and quarterly compliance testwork.
  • Handles incoming calls, emails, and other communications in a professional manner.
  • Manages office supplies inventory and orders replacements.
  • Performs other duties as assigned.

  • Extensive knowledge of the Microsoft Office Suite (Word, Excel, Power Point, Outlook) and various data management resources.

  • Education and Experience

  • Bachelor’s degree in business, Business Analytics, Finance, Accounting, or a related field; or equivalent experience, preferred.
  • Brokerage and investment operations experience preferred.
  • Portfolio and accounting software and CRM software experience preferred.
