The Escrow Assistant plays a key role in supporting the escrow team by handling pre-closing, closing, and post-closing tasks to ensure smooth and accurate transactions. This position requires attention to detail, strong organizational skills, and the ability to manage multiple tasks in a fast-paced environment.

Key Responsibilities :

  • Order payoffs and final utility bills, ensuring they match title commitments.
  • Handle all file requirements, including clearing liens, judgments, and bankruptcy-related matters.
  • Obtain past and present tax information and verify current tax payments.
  • Order and follow up on HOA letters, bylaws, financials, and irrigation details.
  • Collect commission information for real estate agents involved in the transaction.
  • Disburse files and verify accuracy and receipt of incoming and outgoing wires.
  • Prepare Power of Attorney and Quit Claim Deeds as needed.
  • Maintain regular communication with the Escrow Officer regarding file status.
  • Assist walk-in clients and answer phone calls when the Escrow Officer is unavailable.
  • Provide support to other assistants and serve as a backup receptionist when necessary
  • Assist with entering lender figures into the system.
  • Print necessary documents for closing.
  • Prepare and print checks for disbursement at closing.
  • Fax closing figures to lenders and real estate agents as needed
  • Finalize and clean out files for loan package shipping, recordings, and escrow hold follow-ups.
  • Prepare closed files for scanning and document retention.

Requirements :

  • 3 to 5 years Prior escrow or title experience
  • Strong attention to detail and ability to multitask in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent communication and customer service skills.
  • Ability to handle confidential information with discretion.
  • Strong organizational and problem-solving abilities.
