The Escrow Assistant plays a key role in supporting the escrow team by handling pre-closing, closing, and post-closing tasks to ensure smooth and accurate transactions. This position requires attention to detail, strong organizational skills, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities :
- Order payoffs and final utility bills, ensuring they match title commitments.
- Handle all file requirements, including clearing liens, judgments, and bankruptcy-related matters.
- Obtain past and present tax information and verify current tax payments.
- Order and follow up on HOA letters, bylaws, financials, and irrigation details.
- Collect commission information for real estate agents involved in the transaction.
- Disburse files and verify accuracy and receipt of incoming and outgoing wires.
- Prepare Power of Attorney and Quit Claim Deeds as needed.
- Maintain regular communication with the Escrow Officer regarding file status.
- Assist walk-in clients and answer phone calls when the Escrow Officer is unavailable.
- Provide support to other assistants and serve as a backup receptionist when necessary
- Assist with entering lender figures into the system.
- Print necessary documents for closing.
- Prepare and print checks for disbursement at closing.
- Fax closing figures to lenders and real estate agents as needed
- Finalize and clean out files for loan package shipping, recordings, and escrow hold follow-ups.
- Prepare closed files for scanning and document retention.
