We are seeking a highly organized and proactive Front Desk Receptionist / Customer Service / Sales Support professional to join our growing team. In this role, you will be responsible for providing front-line customer service, managing scheduling, supporting sales efforts, and ensuring smooth operations in various administrative tasks. Your ability to juggle multiple responsibilities and maintain excellent communication with both internal teams and customers will be essential.
Key Responsibilities:
Phone and Parts Support: Serve as the first point of contact for incoming phone calls, providing excellent customer service.Provide parts assistance, helping with customer inquiries and orders as needed.
Service invoicing: This position will be responsible for accurately taking service work orders from the service department and entering them into the company's accounting and billing software. This includes gathering all relevant information, ensuring proper documentation of the services requested, and ensuring that all work orders are correctly processed for invoicing. You will collaborate closely with both the service team and the accounting department to ensure timely and accurate billing.
Show Management: Manage and coordinate trade show schedules, ensuring alignment with company goals and deadlines. Oversee demo units required for trade shows, ensuring all logistics are in place. Coordinate and maintain show collateral and literature, ensuring all materials are ready and accessible.Prepare and send show reports to Management , including: Upcoming show details. Post-show summaries. Total spend (sales or engagements) from each show.
Demo Units: Track and report on monthly demo unit miles.Ensure regular maintenance, including oil changes and other services for demo units.Manage dealer plates and maintain records.Keep track of demo unit locations and availability.Send monthly reports to Management , updating them on demo usage and logistics.
Company Vehicles Management: Track and report monthly miles for sales and service vans.Ensure fuel and maintenance records are properly matched to Maverick gas cards.Maintain and file all service records for company vehicles.Send monthly vehicle reports to Management .
Credit Card and Bill Entry: Assist in managing credit card transactions and bill entry into company systems.Ensure accuracy in the documentation of company expenses.
Skills and Qualifications: Strong organizational and multitasking abilities. Excellent verbal and written communication skills. Detail-oriented with a focus on accuracy and timely reporting.Proficient in Microsoft Office Suite (Excel, Word, Outlook) and other office management tools. Ability to work collaboratively with multiple departments and manage various administrative tasks. Previous experience in a customer service or administrative support role, ideally in the automotive, medical, or dealership industry. A proactive, positive attitude and the ability to adapt to a fast-paced environment.
Working Conditions: Full-time, Monday through Friday. Occasional travel or on-site attendance at trade shows or events may be required. Must be able to work effectively both independently and as part of a team.
