We are seeking a highly organized Executive Administrative Assistant with strong administrative skills, who can provide immediate administrative support to our Chief Operations Officer, while also demonstrating potential to take on a more involved role in test development support as their skills and experience grow within Professional Testing.

Job Description: This is a multifaceted role requiring a highly organized, proactive, and detail-oriented individual to provide comprehensive administrative support to the Chief Operations Officer and/or other assigned leadership staff, while also contributing to the development and administration of assessments. The ideal candidate will possess strong interpersonal and communication skills, exceptional organizational abilities, and high proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).


Key Responsibilities:

  • Executive Support:
  • Provide high-level administrative support to our Chief Operations Officer, including:
  • Managing busy calendars and scheduling meetings, involving complex logistics such as coordinating travel, booking accommodations, and arranging meals for groups.
  • Preparing for meetings by gathering and organizing necessary materials.
  • Handling travel arrangements such as airline, hotel, car rental, meals and processing expense reports.
  • Drafting and editing correspondence, reports, and presentations.
  • Inputs and updates information in databases and spreadsheets.
  • Coordinating with clients on meeting schedules, logistics, and other administrative matters.
  • Interacting with other staff as assignments dictate.
  • Proactively and efficiently managing conflicts on calendars and meetings.
  • Managing incoming and outgoing correspondence.
  • Maintaining accurate records and files.
  • Taking notes and recording meeting minutes.
  • Working with sensitive information with discretion to maintain confidentiality and security.
  •  Performing additional duties as assigned by executives.
  • Test Development Support:
  • Contribute to the development and maintenance of an item bank.
  • Assist in the creation and publication of exam forms.
  • Perform data entry and analysis tasks related to test development.
  • Contribute to the quality control of assessment materials.

 Qualifications:

  • Education: Associate's degree required; Bachelor's in Business Administration or related field preferred.
  • Experience:
  • Minimum 5 years of experience as an Executive Assistant, Administrative Assistant, or similar role.
  • Experience in a fast-paced and demanding environment.
  • Experience in the education or assessment industry (preferred but not required).
  • Skills:
  • Advanced or expert proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is essential.
  • Able to type a minimum of 50 words per minute.
  • Strong analytical skills.
  • Strong writing/editing/proofreading.
  • Excellent organizational and time-management skills with the ability to prioritize tasks effectively. 
  • Exceptional attention to detail and accuracy along with critical thinking.
  • Enthusiastic and proactive approach to problem-solving.
  • Strong interpersonal and communication skills with the ability to build and maintain positive relationships.
  • Ability to work independently and as part of a team.
  • Discretion and the ability to maintain confidentiality.
  • Strong problem-solving and critical thinking skills.
  • Ability to adapt to changing priorities and learn new skills quickly.

Physical Requirements:

·       Able to safely lift, pull, and push up to 20 lbs.

·       Able to stand, walk, stoop, kneel, bend, and reach.

·       Able to sit at a desk and use the computer for extended periods.

·       Repetitive hand motions, such as typing.
