Job Title: Assistant Property Maintenance Manager (Portering - Multiple Locations)

Reports To: Property Maintenance Manager

Position Overview

We are seeking a highly organized and proactive Assistant Property Maintenance Manager with a focus on portering to oversee the cleanliness and maintenance of exterior spaces across multiple properties. This role will assist the Property Maintenance Manager in coordinating and managing portering services, ensuring that outdoor common areas such as parking lots, sidewalks, walkways, and trash collection points are maintained to the highest standards. The Assistant Manager will be responsible for supervising portering teams at multiple locations, conducting regular quality inspections, managing schedules, and ensuring consistency across properties.

Key Responsibilities

Portering Operations Management

  • Oversee portering services for multiple locations, ensuring that exterior spaces (e.g., parking lots, walkways, sidewalks, trash areas) are clean, safe, and well maintained.
  • Coordinate daily portering schedules across multiple properties to ensure consistent coverage and high-quality service delivery.
  • Inspect common areas regularly at all locations to ensure that tasks such as litter removal, sweeping, trash collection, and cleaning of exterior seating areas are completed to high standards.
  • Ensure proper reporting and follow-up for any issues that need attention, such as safety hazards, damage to property, or tenant concerns

Quality Inspections & Reporting

  • Prepare detailed quality inspection reports for each property, documenting findings, identifying areas for improvement, and ensuring that corrective actions are taken when necessary.
  • Track and monitor the performance of portering tasks at each location, comparing against quality metrics and ensuring continuous improvement.
  • Ensure the uniformity of service delivery across all locations, making adjustments as needed to improve the overall portering standards.

Team Supervision & Coordination

  • Supervise portering teams across multiple properties, ensuring that each location has sufficient staffing coverage, including after-hours and weekend shifts.
  • Assist in recruiting, training, and mentoring porters to ensure they understand the expectations and standards for portering across all locations.
  • Manage day-to-day operations for porters, including assigning tasks, monitoring progress and ensuring that all work is completed on time.
  • Conduct performance evaluations for porters and provide regular feedback, training, and development opportunities to improve individual and team performance.

Waste Management & Cleaning

  • Coordinate waste management operations across multiple properties, ensuring that trash bins are emptied regularly and common areas such as dumpster zones and recycling stations are kept tidy and organized.
  • Ensure the proper handling and disposal of waste materials, especially hazardous waste, and ensure compliance with local regulations for waste disposal and recycling.
  • Monitor trash removal schedules to ensure that all areas are cleared in a timely manner and that waste is disposed of in the most efficient manner.

Health & Safety Compliance

  • Enforce safety protocols across all properties, ensuring that porters follow safe practices when using cleaning tools, lifting heavy items, or working with cleaning chemicals.
  • Conduct regular safety inspections and risk assessments for exterior spaces, identifying any hazards and reporting them to the Property Maintenance Manager for immediate action.
  • Ensure compliance with environmental and safety regulations for waste disposal and the use of cleaning materials across multiple locations.

Tenant & Customer Relations

  • Serve as a point of contact for tenants and property management regarding portering services, responding to concerns or requests in a professional and timely manner.
  • Monitor tenant satisfaction with portering services across multiple properties, collecting feedback and implementing improvements based on tenant needs and expectations.
  • Promote a positive tenant experience by ensuring that exterior spaces are always clean, safe, and welcoming.

Inventory Management

  • Track and manage portering inventory for all properties, including cleaning materials, equipment, trash bins, and tools.
  • Ensure inventory is replenished on time, maintaining sufficient stock levels across multiple locations to prevent any disruptions in portering operations.
  • Maintain organization and safety in storage areas for portering supplies, ensuring that materials are stored properly, and equipment is regularly inspected for safety.

Reporting & Documentation

  • Maintain records of portering services, work orders, and inspections for all locations, ensuring that documentation is accurate and up to date.
  • Assist in preparing regular reports on portering activities, service quality, staff performance, and any issues requiring attention at multiple locations.
  • Monitor and report budgetary performance related to portering services across all properties, identifying areas for cost control or improvement.

Qualifications & Skills

  • Experience: At least 1 years in property maintenance, portering, or facilities management, with supervisory experience across multiple locations or properties preferred.
  • Leadership: Proven leadership abilities with experience in managing teams across multiple locations, ensuring consistent quality and performance.
  • Organization: Strong organizational skills with the ability to coordinate schedules, prioritize tasks, and oversee operations at multiple properties simultaneously.
  • Customer Service: Strong communication skills, with the ability to resolve tenant issues and ensure high levels of tenant satisfaction across different locations.
  • Attention to Detail: Ability to maintain high cleanliness and safety standards across multiple sites, addressing any issues promptly.
  • Problem-Solving: Strong problem-solving skills, especially in managing operational challenges or addressing urgent maintenance issues across multiple locations.

Preferred Qualifications

  • Certifications: Knowledge or certifications in health and safety, waste management, or property maintenance is a plus.
  • Technology Skills: Familiarity with property management software (e.g., Yardi, AppFolio) to track work orders, inspections, and inventory across multiple locations.
  • First Aid/CPR: Certification in First Aid or CPR is an advantage.

Pay: $18.00 - $20.00 per hour
