Job Summary:
Under the supervision of the Director of Property Management, the position is responsible for all building operations. The Property Manager is responsible for all aspects of the tenant relationship to ensure the safe, efficient operation of the assigned building portfolio. The Property Manager is also responsible for ensuring the building receives timely maintenance services from on-site maintenance staff that are supervised by the Director of Facilities. The Property Manager will interact regularly with members of the social services team to ensure that prospective tenants meet the selection criteria, and to ensure that appropriate attention is directed towards tenants whose behavior, health, or financial circumstances merits special attention.
Responsibilities:
Tenant Management
Filling vacant units, including income recertifications, background checks, home visits, applying allowable rents, managing multiple waitlists, and coordinating tenant move ins.
- Communicating with subsidy agencies (CITYFHEPS, NYCHA, HPD Section 8, DHCR, SCRIE) on the certification of new tenants, recertification and renewal leases for existing tenants, annual rent increases & the updating tenant ledgers is expected.
- Facilitating make-ready of apartments, building & unit walk thru, work orders for repairs.
- Analyzing collections and receivables to maximize monthly cash flow, including regular communication with the attorney on legal actions.
- Directing the activity of the Assistant PM and security personnel.
- Performing annual unit inspection and otherwise enforcing rules of occupancy.
- Preparing timely, accurate paperwork for issuance of tenant rent billings.
- Managing and maintaining accurate data in the property management electronic record system including: JotForm, Bamboo HR, Yardi, and AWARDS.
Facilities Maintenance
- Ensuring compliance with regulations for NYC agency-monitored equipment, such as elevators, boilers, fire suppression, water, and garbage systems in conjunction with the superintendent.
- Leading efforts to minimize and clear HPD, FDNY & DOB violations.
- Defining standards and performing routine building inspections.
- Initiating and tracking tenant or staff-initiated work requests.
Interface with Social Services and other Property Teams
- Facilitating bi-weekly property/social services meetings.
- Participating in monthly tenant meetings.
- Support the property managers at other sites when needed.
Qualifications:
- At least five years property management experience, preferably in a not-for-profit setting.
- Familiarity with NYC housing agencies, rental subsidy programs, as well as landlord-tenant proceedings.
- Experience working with third-party back-office service providers and with Yardi property management software.
- Proficiency with Microsoft Office products is expected.
- Must possess strong verbal and written communications skills.
- Familiarity with HRA referral systems and reporting is preferred.
