Job Title: Newcomer Support Program Coordinator
Supervisor: Executive Director
Pay Rate: $18/hour for 15 - 20 hours per week
Location: Hybrid. This is primarily a remote position, with an estimated 5 - 10 hours per week of in-person programming, depending on the time of year. During the summer, there will be in-person summer camp programming in Montgomery County (Norristown, PA) and Chester County, PA. During the academic year, there are about 4-6 hours per week of in-person programming. The rest of the role can be performed primarily remotely.

ABOUT THE NEWCOMER SUPPORT PROGRAM COORDINATOR
Reporting to the Executive Director, the primary responsibility of this role is the daily coordination and oversight of all aspects of the Project Libertad’s weekly Newcomer Support Programs, including (1) supervision of volunteers in the program, (2) enrollment of students (when applicable), (3) creation of content, organization/preparation and distribution of program supplies, and (4) coordination with school district partners.
Newcomer Support Programs are trauma-informed, culturally sensitive, academic enrichment programs designed to create a safe space for newcomer immigrant youth to form positive relationships with adult mentors and older newcomer students, realize their academic potential, engage meaningfully with their school community, develop leadership skills, and process their experience of migration with fellow newcomers. Sample program activities include, but are not limited to: English language support, homework assistance/tutoring, mentorship, leadership development, mental health support, art projects, team-building activities, and life skills.
This role will include coordination and implementation of the below programs and future programs as we expand our programming in the region:
Current Newcomer Support Programs include:
- Phoenixville Area Middle School (Phoenixville, PA)
- Phoenixville Area Middle School (Phoenixville, PA) (Girls’ Empowerment Program)
- Kennett High School (Kennett Square, PA)
- Conestoga High School (Berwyn, PA)
- Summer camp programming (Norristown, PA and Chester County, PA)
As a member of the Project Libertad team, the Newcomer Support Program Coordinator is responsible for the day to day functions, consistency, and success of the Newcomer Support Programs. This position plays a key role in creating strong relationships with youth and families who participate in our program as well as consistent and effective communication with program staff/volunteers and school partners.
Newcomer Program Coordinator Duties include but are not limited to:
- Coordinate the logistics of the Newcomer Support Programs in the beginning of each school year by communicating with partner school districts/teachers to confirm day/time, place, participating students, and other pertinent details for each program as the Fall term of each school year approaches.
- While this coordination generally takes place in July - September each year, coordination may be required on an ongoing basis throughout the academic year.
- If applicable, communicate with partner school districts/teachers to distribute permission slips for participation in the Newcomer Support Programs, and monitor student enrollment/manage student data for each program.
- Regularly monitor the online permission slip responses to ensure that students are registering for the program.
- Share student information with program volunteers to ensure that student pick-up is handled in accordance with parent/guardian wishes and that volunteers have relevant medical information, etc., for each student.
- Permission slips are only required for programs that happen outside of school hours.
- Work with Volunteer Coordinator to ensure that each program is adequately staffed.
- Train new volunteers to serve in the Newcomer Support Programs. This is separate from the normal training given by the Volunteer Coordinator.
- Obtain (with Project Libertad funds and through donations), prepare, and distribute program supplies (such as art supplies, snacks, etc.) to program volunteers for each program.
- For Summer Programming: Must be available to coordinate in-person summer camp programming during June and July
- For School-Year: must be able to run the in-person programs described above.
- Supervise Volunteers through biweekly or monthly supervision meetings, reminder emails, etc.
- Ensure that volunteers complete their Attendance and Volunteer Hour reporting forms each month and submit them to the Volunteer Coordinator.
- Maintain student attendance records with assistance from Program Leaders.
- Manage student behavior as needed, in accordance with Project Libertad policies.
- Flag concerns/issues to the Executive Director in order to assist the family in communicating with the school. Complete any necessary follow up.
- Complete and comply with mandated reporter training and requirements.
- Build rapport with children and families and report to parents about children’s experiences as applicable, with assistance from the Executive Director as needed.
- Collaborate with the program team to create and implement a cohesive learning experience for participants.
- Promote safety of children by being aware of potential hazards and addressing them, in collaboration with program volunteers.
- Train Staff and Volunteers regarding requirement to maintain cleanliness, hygiene, and organization of program space in partner school districts.
- Collaborate with local partner agencies to arrange for guest speakers throughout the year.
- Train Staff and Volunteers to in Project Libertad student transportation policies and promote adherence to those policies.
- Document lesson plans, activities, and feedback
- Provide monthly program reports and impact measures
- Ensure program materials are inventoried and properly maintained
- Support community relations by acting as an ambassador for the organization as necessary with community members, program participants, partners, collaborators, supporters and advocates, actively building relationships that will advance the mission and outcomes of the organization
- Conduct all services in a culturally appropriate manner.
- Adhere to all Project Libertad agency policies.
Required Knowledge, Skills & Abilities:
We seek a Newcomer Program Coordinator who has had experience and success working with children in an environment that emphasizes activities that build values such as peer leadership, equity, service learning, teamwork and responsibility. The ideal Newcomer Program Coordinator is a collaborator interested in working closely with a team to continually develop outstanding enrichment programs for our participants. We seek an individual who is enthusiastic and creative in their approach to discipline, group cohesion, and preparing children for learning.
Spanish fluency is required. Portuguese fluency is preferred but not required.
Required Clearances: The Newcomer Program Coordinator must obtain all required clearances for working with youth in PA and renew them annually, in compliance with Project Libertad policy. Mandated reporter training must be completed as required.
Working Conditions
This position is a physically active position. The Newcomer Program Coordinator must be able to stand and walk for long periods of time, to bend at the knees and hips and to lift at least 30 pounds overhead.
This position is a part-time position and requires the ability to work in-person for up
to 10 hours per week in the summer, as well as the ability to work several hours per week in-person during the academic year (can be flexible depending on the coordinator’s schedule). The coordinator will work remotely the rest of the time.
