Job description - Administrative Assistant
Propel Pediatric Therapy is seeking a motivated and detail-oriented Receptionist/Administrative Assistant to join our dynamic team. In this role, you will be the first point of contact for our clients and visitors, providing exceptional customer support while managing various administrative tasks. The ideal candidate will possess strong organizational skills, a friendly demeanor, and the ability to multitask effectively in a fast-paced environment.
What would you do?
Duties will include but are not limited to:
- Greet patients upon arrival, check ins, obtain insurance information and demographic data as needed, and any other necessary data.
- Identify the need for any pre-authorizations and obtain preauthorizations prior to treatment.
- Provide patients with intake forms, new patient forms, copies of our office policies, and legally required documents.
- Process payments from patients for co-pays and uninsured visits.·
- Provide patients with support and guidance as needed.
- Answer incoming phone calls, email, and providing information, and address inquiries
- Prepare communications, such as memos, emails, invoices, reports, and other correspondence
- Write and edit documents from letters to reports and instructional documents
- Create and maintain filing systems, both electronic and physical
- Compiling, maintaining, and updating company records
- Managing office inventory.
- Operating office equipment, including printers, copiers, fax machines, and multimedia instruments.
- Maintain the cleanliness and organization of the facility throughout the day and prior to closing.
- Assist therapists with sanitation procedures throughout and in between visits.
Who are we looking for?
- Applicants should demonstrate genuine kindness to patients and staff, must be self-motivated, and be able to work both independently and as part of a team
- High school diploma required
- 1 years experience in a clinical environment.
- Experience and proficiency with Excel, Google Sheets, and various other Microsoft and Google platforms
- Ability to learn electronic medical record platforms and use of insurance websites
- Experience in medical billing preferred.
- Ability to read, comprehend and deliver information effectively.
- Ability to multitask effectively and efficiently use time to complete tasks
- Organizational skills and ability to track/monitor tasks for reporting purposes
- Receptive to constructive criticism
