Job Overview:
The Sales Coordinator plays a key role in supporting the sales team by managing a wide range of administrative tasks, from lead qualification to commission tracking and general sales support. This position requires flexibility and strong organizational skills to handle a high volume of leads, ensure smooth day-to-day operations, and contribute to the overall success of the department. We are looking for someone who can manage a variety of tasks efficiently and work alongside the sales team to drive business results.
Key Responsibilities/Duties:
Lead Qualification & Management:- Take primary responsibility for lead qualification, especially for group and catering leads, by identifying and prioritizing viable opportunities.
- Act as clients’ first impression of the hotel by managing a high volume of inbound phone calls and emails, assess the potential of each lead, and filter out low-quality leads to ensure that only the most promising opportunities are passed to the sales team.
- Manage lead distribution to the appropriate sales team members, ensuring prompt follow-up.
Commission Management:- Oversee the processing of commissions for the sales team, ensuring accuracy and timely submission.
- Set aside dedicated time each week to manage commission-related tasks and proactively track commission progress to avoid delays.
Administrative Support :- Handle various administrative tasks such as updating and maintaining client records, processing contracts, managing sales correspondence, and creating reports.
- Support the organization and preparation of sales documents, ensuring everything is organized and up-to-date in the CRM system.
- Provide ad-hoc support to the sales team as needed, helping to streamline daily operations and ensure efficient workflow.
Miscellaneous Tasks:- Provide basic administrative support for other sales-related functions as needed, including processing receipts, handling general inquiries, and assisting with entertainment and consortia-related communications.
Additional Requirements:
Hours: Flexibility in work hours is essential for this role. The ideal candidate will be comfortable working approximately 45-50 hours a week in the office semi-regularly to provide comprehensive support for the team and manage the workload effectively.
Experience: A minimum of 2 years in a sales or administrative role within the hospitality industry, ideally with exposure to a luxury hotel environment.
Skills:- Strong ability to prioritize and manage a high volume of tasks.
- Proficient in Microsoft Office Suite, CRM systems (TripleSeat & Delphi.fdc preferred), and basic data management.
- Excellent communication skills, both verbal and written, with a focus on professionalism and attention to detail.
- Ability to work independently and be proactive in identifying areas for improvement within the department.
- A customer-centric approach with a commitment to delivering high levels of service.
