Job Summary/Responsibilities
The Reservation Coordinator is responsible for handling all calls and email requests from the sales team, front office and incoming reservation. They must ensure a pleasant guest experience with an attentive, efficient, calm and friendly demeanor. Some of the key duties and responsibilities include:
- Build group blocks in the system, ensuring any contract is adhered to, including any contracted concessions
- Maintain awareness at all times of groups inventory levels, making approved adjustments as needed to ensure satisfaction
- Accurately enter rooming lists upon receipt and update any reservations as needed before group arrival and accurate inventory throughout planning process as block evolves needed
- Keep Sales Team organized and updated with groups pickup and any potential issues with fulfilling contract obligations
- Handle all inbound communications related to new or existing reservations through phone, email, and other hotel communication platforms in an attentive, courteous, and efficient manner
- Make reservations efficiently and accurately in the system, noting any special requests
- Always maintain guest privacy
- Be well informed about property services and hours of operation to share with guests
- Be able to provide accurate directions to the hotel
- Be familiar with the surrounding area of the hotel
- Forward any necessary requests for additional packages or travel plans to the concierge team
- Always maintain a warm and friendly demeanor
- Must be able to effectively communicate both verbally and written, with all level of employees and guests in an attentive, friendly, courteous and service oriented manner
- Perform other duties as requested by leadership.

Education/Formal Training
- High school or equivalent education required. Bachelors degree preferred.
Experience
- Opera Cloud experience required
- Minimum 1 year of sales coordinator, sales coordinator or front desk experience required
- Experience in luxury hotels or a related field preferred
- Must be able to communicate fluently in English for both written and verbal communications
- Proficiency with computer systems
- Ability to work a flexible schedule is required
