Assistant Property Manager/Leasing Consultant
Currently seeking an experience Assistant Property Manager/Leasing Consultant in the Grand Rapids area to support the management of a multifamily community in the Grand Rapids area.
Financial
- Ensure that all monies due are collected from residents in a timely manner
- Supports the fiscal management of the properties with transactions and tasks related to the financial operation of the community, such as rent and fee charges and collections, security deposit returns and damages reconciliation, preparing and affirming accuracy of rent roll reports, reviewing of invoices, and management of petty cash.
Administrative
- Follow Fair Housing guidelines in all aspects of operations
- Ensure that the tenant files (physical and electronic) are complete and that the lease and lease addendums are executed properly, and all tenant related matters are documented appropriately.
- Responsible for opening the office on schedule.
- Participate in all meetings and training as required. Conduct regular property meetings with leasing and maintenance staff.
- Lead emergency service team for community. Ensure proper response and handling of all community emergencies with staff, residents, buildings, etc.
- Manage and maintain daily operations reports.
- Identify and act on opportunities for efficiency and effectiveness.
- Operates the property management system (Yardi Breeze Premier) and supports the full integration of the system with the property team.
- Prepare and submit Incident Reports, as needed.
- Monitors/manages the rental insurance coverage of tenants.
- Duties subject to change, as deemed appropriate by Management.
Maintenance
- Ensure inspections with residents prior to move-out.
- Ensure that all Service Requests are recorded and communicated appropriately and consistently between leasing manager and maintenance team.
- Review Service Requests and follow up on completed work orders and overdue items
- Ensures that the community and prepared units meet the company’s quality standards through inspections, and communicating maintenance and upkeep needs to Maintenance team members.
- Ensure the completion of the monthly priority checklists with maintenance staff.
- Assists maintenance in the arranging of maintenance activities or external contractors engaged in repair, including emergency, preventative, turnover, inspection, or routine, through the utilization of property management software and resident communication.
- Document and discuss any safety issues on the property as they occur (i.e. missing railings, missing utility covers).
- Promote a “safety first” mindset throughout the workday.
Marketing/Leasing
- Shop competition and be aware of neighborhood market conditions and maintain awareness of market/industry conditions and trends via trade publications, professional organizations, etc.
- Assists Leasing in the review of leases, move-in paperwork and all lease addenda paperwork accurately and on a timely basis.
- Assists in the management of inventory, marketing, and advertising efforts to maximize occupancy rates.
- Facilitates the move-out process with tenants and maintenance team with pre-move-out inspections, move-out related materials, and informing leasing manager of move-out dates.
Resident Relations
- Encourage residents to participate in regular resident surveys, and to post reviews on advertising sites.
- Resolves issues with residents, customers, vendors, and employees as well as representing the company in a timely, professional manner and demonstrating sound judgement and making sure every situation you handle ends with gratification
- Follows the company’s procedures related to evictions by following proper notice requirements, evicting residents, and representing the properties as required in court hearings and eviction proceedings
- Fosters a positive community environment including resident activities.
Knowledge, Competencies, and Experience required (unless otherwise noted):
- Education & Experience – College degree or equivalent management experience; Previous industry experience required; Banking industry experience also valued.
- Initiative – Must be self-motivated, independent and able to work with minimal supervision.
- Technological Aptitude – Highly proficient with Microsoft Word, Excel and industry property management software systems (Yardi Breeze preferred)
- Industry Knowledge – Knowledge of local, state and federal resident/property management laws/guidelines, Certified Apartment Manager (CAM) or Accredited Resident Manager (ARM) preferred.
