Key Responsibilities:

  • Manage and route incoming calls in a professional manner.
  • Handle mail duties, including checking, scanning, and distributing documents.
  • Process notices to vacate, ensuring proper documentation flow between tenants, property owners, and the team.
  • Act as a communication liaison within the team for company emails, calls, and mail.
  • Efficiently scan and route bills to Accounts Payable, document incoming payments for Accounts Receivable.
  • Maintain an organized filing system and ensure timely documentation.
  • Provide administrative support, including copying documents, taking notes, and making travel arrangements.
  • Schedule appointments and organize property viewings.
  • Prepare meeting rooms and assist in setting up for client visits or internal meetings.
  • Assist colleagues with various administrative tasks.
  • Maintain a pleasant demeanor and provide excellent customer service, addressing client inquiries and concerns.

Qualifications:

  • Experience in receptionist or administrative roles preferred.
  • Strong communication and organizational skills.
  • Ability to work well under pressure and multitask effectively.
  • Familiarity with property management or real estate is a plus, but not required.
  • Eagerness to learn and grow into a more advanced role within the company.

  • Appfolio or other property management software
