Primary Purpose:
Provide organizational support and ensure the efficient operation of the Department of District Services.
Qualifications:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
- Proficient in keyboarding, word processing, and file management
- Strong office management and organizational skills with attention to detail
- Excellent communication and interpersonal abilities
- Superior proofreading, grammatical, and written communication skills
- Self-motivated with strong problem-solving and customer service skills
- Proven ability to maintain confidentiality and exercise discretion
- Demonstrated ability to prioritize tasks and coordinate multiple projects
- Strong work ethic with the ability to work independently or as part of a team
Experience:
Two years administrative assistant experience in public education, preferred
Major Responsibilities and Duties:
Records, Reports, and Correspondence
1. Assist in preparing and managing department communications, correspondence, forms, manuals, reports, purchase orders, and payment authorizations following district standards and requirements. Prepare instructional materials as requested.
2. Support compliance with legal requirements and court orders related to district records.
3. Ensure the confidentiality and integrity of all sensitive information.
4. Maintain and manage appointments, meetings and departmental deadlines.
5. Contribute to the implementation and optimization of standardized processes within the department.
6. Assist with maintaining and organizing data records for various departments within District Services.
7. Compile, organize, and maintain all required reports, records, and related documentation.
Reception and Phones
8. Handle incoming calls, take accurate messages, and direct them to appropriate staff members.
9. Provide assistance and accurate information related to enrollment, residency, school transfers, and attendance inquiries.
10. Schedule and coordinate meetings, appointments, and other administrative tasks as needed.
Other
11. Assist in the day-to-day operations of the Department of District Services, including budget management, travel coordination, and other administrative duties.
12. Support the organization and coordination of the Truancy Tribunal and other mandated processes.
13. Aid in the planning, preparation, and setup of district meetings and activities.
14. Perform additional job-related duties as assigned by the Executive Director of District Services.
15. Follow district safety protocols and emergency procedures.
