What are the responsibilities and job description for the Medical Office Manager position at PSPSA- Pain Management?
Job Duties:
- Directly supervises staff and oversees the day-to-day clinic activities and schedule in an effort to reduce patient wait times.
- Manages and analyzes assigned employees’ timecards. Assists employees with missed punches and timecard errors. Approves time cards bi-weekly, approves assigned employee mileage expenses.
- Manages time off, absences and staffing issues for assigned staff. Being proactive in ensuring this lines up with provider schedules/vacations.
- Responsible for policy and procedure creation and updates related to the duties of the staff under the Office Manager.
- Performs performance reviews on all assigned staff annually and 90-day or as needed. Produces and analyzes monthly reporting on productivity.
- Resolves interpersonal issues, problem solves and helps employees with locked accounts and/or password resets, troubleshoots basic computer workflow problems. Assists with emergent requests to resume normal workflows.
- Enforces HR policies and procedures, responsible for staff compliance with all policies and procedures to include HIPAA, OSHA and Infection Control compliance. Addresses employee issues, resolves conflicts, administers discipline/counseling and documents corrective actions.
- Assists patients with the patient portal. Sets up accounts and administers passwords to new patients. Unlocks accounts, resets passwords and provides basic navigation to patients needing assistance.
- Works with teams on reducing paperwork, maximizing efficiencies and eliminating barriers that slow patient intake. Looks for ways to use technology and innovation to better our services for patient care.
- Responds to patient complaints. Helps resolve issues and facilitate problem solving for clinical patient issues. Assists physicians and teams with difficult patients and provides assistance with patient dismissals.
- Conducts monthly or quarterly meetings and lunch and learns for assigned staff. Provides training and updates on policies and procedures.
- Works with physicians on development of best practices. Encourages new workflows that maximize efficiency and reduce redundancy.
- Motivates staff and maintains a high level of morale among department personnel.
- Promotes a positive environment for staff and patients that reflects the mission of the group. Promotes a positive image of the organization
- Working as the liaison between the clinic and the billing company.
- Manage office inventory/budgeting.
- Review all procedure notes and billing prior to closeout and submitting to billing.
- Send out all anesthesia billing to the appropriate personnel.
- Generate letters requested by patients/providers. Assist in FMLA completion.
- Review all incoming postal mail/faxes and distribute it to appropriate departments.
Job Type: Full-time
Pay: $50,000.00 - $55,000.00 per year
