Job Overview:
As the Executive Assistant, you will work directly with the CEO and COO of Quality Drills, supporting them in various administrative, operational, and communication tasks. This role requires strong organizational skills, exceptional communication abilities, and a high level of professionalism. You will serve as a key point of contact, facilitating clear and effective communication between the executive team and multiple departments, ensuring smooth internal operations.
Key Responsibilities:
- Provide high-level administrative support to the CEO and COO.
- Manage executive calendars, scheduling meetings and appointments efficiently.
- Coordinate and facilitate communication between the executive team and various departments (sales, operations, warehouse, etc.).
- Assist in preparing reports, presentations, and company communications on behalf of the CEO and COO.
- Handle incoming phone calls, manage emails, and draft responses as necessary.
- Assist with sales and marketing efforts, including the preparation of documents and proposals.
- Ensure the timely flow of information between departments to support business operations.
- Organize and maintain executive files, records, and data.
- Support company-wide events and meetings, including preparation and coordination.
- Perform additional clerical duties, such as data entry, scanning, and filing.
- Assist in maintaining confidentiality in all business communications.
Qualifications:
- Bachelor's Degree preferred
- Minimum of 1 year of experience supporting executive teams or in a similar
- In person position. This is not remote
administrative role.
- Excellent written and verbal communication skills, with the ability to interact
professionally with multiple departments.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational skills and attention to detail, with the ability to manage multiple
tasks and priorities.
- Ability to maintain a high level of confidentiality and professionalism.
- Experience coordinating communications and operations across departments is a plus.
- Reliable transportation and commitment to full-time in-office work hours.
- Must be dependable, punctual, and motivated to contribute to company growth.
- Ability to pass a comprehensive background check.
