Quality Metal Carports is a local manufacturer of durable, high-quality metal structures, including barns, carports, garages, and more. We are currently seeking a highly organized, proactive Scheduling Coordinator to help streamline our scheduling process, coordinate installations, track payments, and support overall office operations.
Our goal is to maintain a consistent 3–4 week lead time on our installation schedule. However, the nature of installations can be unpredictable—weather delays, site issues, and last-minute changes are common. That’s why we’re looking for someone who can do more than just build a schedule—someone who can adapt quickly, communicate effectively with customers and crews, manage expectations, and de-escalate issues professionally when plans shift.
This is more than a basic scheduling role. We’re looking for a self-starter with experience in dispatching, logistics, or operations who can take ownership, solve problems in real time, and help create a positive experience for both customers and the installation team. Strong customer service is essential—we want every customer to feel informed, supported, and confident in the process.
You’ll play a vital role in helping us deliver not just quality buildings, but a quality experience from start to finish.
Key Responsibilities
- Schedule and coordinate installation crews, ensuring clear job assignments and maximum efficiency
- Communicate with customers about installation timelines, site preparation, and schedule updates
- Serve as a point of contact for customers throughout the process, ensuring a smooth and positive experience
- Work closely with installers and subcontractors (some of whom are Spanish-speaking) to confirm schedules, address issues, and resolve conflicts
- Ensure crews have all required paperwork and documentation prior to installation
- Follow up after installations to collect site photos and ensure all required materials are submitted
- Handle customer concerns with professionalism, providing timely updates and resolving issues to maintain satisfaction
- Track and process payments, maintain accurate records, and assist with invoicing and reporting
- Analyze and improve scheduling efficiency to help streamline daily operations
- Perform data entry and record-keeping for jobs, payments, schedules, and customer interactions
- Support sales as needed by providing customers with information on products and services
- Manage office clerical tasks including document organization, invoicing, and email communication
- Use project management tools such as Trello alongside Google Workspace (Gmail, Drive, Docs, Sheets) to keep schedules, files, and workflows organized
- Monitor and analyze scheduling and financial data in Google Sheets to track project progress, payments, and operational metrics
- Other Tasks as assigned
What We’re Looking For
- Experience in scheduling, dispatching, logistics, or operations
- Strong organizational and time management skills with attention to detail
- Excellent communication and customer service skills, both written and verbal
- Ability to handle conflicts and adapt quickly to last-minute changes
- Bilingual (English/Spanish) required to communicate with both customers and field crews
- Experience with payment tracking, invoicing, or bookkeeping is a plus
- Proficiency with Trello, Google Workspace, and other scheduling or CRM tools
- Self-motivated with a process improvement mindset

Pay: $16.50 - $20.00 per hour
Expected hours: 40 per week
