We are seeking a highly organized and proactive Receptionist/Administrative Assistant to join our team. Responsibilities
- Greet visitors and clients warmly, providing an excellent first impression of the company.
- Manage phone calls, directing inquiries to the appropriate personnel while maintaining professional phone etiquette.
- Schedule and manage appointments using calendar management tools, ensuring efficient use of time for all staff members.
- Assist with administrative tasks including data entry, filing, and maintaining organized records.
- Provide customer support by addressing inquiries and resolving issues promptly and effectively.
- Support financial operations by utilizing QuickBooks for invoicing and basic bookkeeping tasks as needed.
- Maintain office supplies inventory and order supplies when necessary to ensure smooth operations.
- Collaborate with team members to enhance office efficiency and contribute to a positive work environment.
Skills
- Proficient in Google Suite applications (Docs, Sheets, Calendar) for document creation and management. We use Mac/ Apple Systems
- Strong computer literacy with the ability to quickly learn new software applications.
- Experience in front desk operations or as a personal assistant is preferred.
- Excellent organizational skills with attention to detail to manage multiple tasks effectively.
- Strong customer service orientation with the ability to communicate clearly and professionally with clients and colleagues alike.
- Ability to handle confidential information with discretion and integrity.
