POSITION SUMMARY: The Academic Services Officer provides support in all areas related to Quincy College applicants and students including but not limited to admission/financial aid/registration/business/technical functions. This role requires flexibility in terms of location and time as well as duties. Under the direction of the AVP of Enrollment Management, this position is responsible for developing, coordinating, and ensuring the successful transition of prospective students to and through Quincy College. The incumbent will help guide students and families through the admissions process, evaluate admissions applications, review transcripts, and be involved in a range of on and off campus events including but not limited to college fairs, school visits, transfer programs, counselor meetings, open houses, and orientation programs to include virtual spaces for all of the aforementioned events. Furthermore, this role includes providing prospective and current students, high school guidance counselors, and all college constituents guidance information and support relative to the admissions/enrollment/success process including but not limited to admissions, financial aid, registration, and academic advising. This role will require flexibility in terms of location as well as duties. The candidate will adhere to a strong student-first approach to their work. This role will support other duties of the Welcome Center such as Registration, Advising, and the Business Office as needed.


EDUCATION: Bachelor's Degree required; Master's Degree preferred

REQUIREMENTS:

A minimum of two to five years of experience working in admissions, recruitment, academic advising, or similar skillsets. Higher education experience is preferred.
Excellent customer service and a commitment to student success.
Demonstrated ability to work as an individual and member of a team.
Demonstrated ability to work in a fast-paced environment, multitasking, prioritizing duties, and the ability to cross-train with other departments.
Demonstrated ability to build relationships with faculty, staff, students, parents, and other stakeholders/influencers throughout but not limited to the enrollment process.
Proven critical thinking skills and extreme attention to detail.
Strong written and verbal communication skills - ability to speak in front of small and large, diverse audiences.
Proficiency with technology including but not limited to Microsoft Office Suite, Outlook Email, Microsoft Teams, CRM systems, social media, and virtual meeting platforms.
Ability to work evenings and weekends.
Valid driver's license and access to motor vehicle.
Ability to perform the essential functions of the position with or without reasonable accommodation.


PREFERED QUALIFICATIONS:

Experience working with recruitment of students.
Experience in reviewing transcripts for transfer credit evaluation
Experience in reviewing, maintaining and collecting documentation for selective programs.

Experience in Jenzabar CRM and data management system.
Bilingual


SUPERVISORY EXPERIENCE: Oversee student workers within department and other supervisory roles as assigned.


TRAVEL: Travel between the Quincy and Plymouth campuses as well as travel to the Boston site. Travel to various events including but not limited to college fairs, transfer fairs, school visits, or other events in the interest of the College is required.


ESSENTIAL FUNCTIONS:

Promptly and courteously respond to phone calls, emails, and other requests from students, their families, and other constituents.
Schedules appointments to meet with prospective and current students to provide comprehensive information to answer their questions, issues, and concerns in all matters relative to enrollment/admission/student success.

Maintains foundational knowledge of all areas pertaining to student admission/enrollment/success.
"Walks" students and prospective students through administrative/enrollment processes, providing instructional and technical support as needed.

Conduct visits to high schools and colleges within an assigned territory to promote Quincy College, in-person and/or virtually.
Plan and host students/organizations for special events, open houses etc.

Establish relationships with community college advisors/transfer counselors to promote Quincy College programs and initiatives.

Assist students with on-site registration, including course selection, program enrollment and processing tuition and fee payments.
Deliver student-centered academic advising to students at the Quincy, Plymouth or Arlington Street campuses as well as Online.
Advise students on major selection/affirmation; understanding one's curriculum and the degree completion process; and course selection and registration procedures.
Assist with outreach activities, including registration calls, information sessions, campus tours, virtual office appointments, zoom sessions, and off-campus visits.
Complete transcript evaluations for transfer credit.
Manage relationships and admissions processes for Quincy College selective admissions programs.
Manage prospective, applied, accepted, and enrolled student lists to ensure a positive experience throughout the admissions/enrollment process.
Establish relationships with students, parents, and other influencers to ensure a positive experience throughout the admissions/enrollment funnel, and provide a smooth transition from Admissions to Advising or other enrollment centers of the College.
Assist in maintenance of records in the Admissions Office including applications, transcripts, diplomas and other documentation.
Assist with communications to prospective, applied, accepted, and enrolled students throughout the Admissions process.
Provide accurate information and assistance to students in collaboration with College offices, including admissions, advising, registration, financial aid, and student development.
Maintain foundational knowledge and assist in/with all areas pertaining to student financial aid/admission/registration/business/technical areas.
Accurately track student information/records in the student information system, Jenzabar.
Guide students and prospective students through administrative/enrollment processes, providing instructional and technical support as needed.
Provide administrative support to other student offices as needed.
Serve on various college committees as assigned by supervisor.
Attain familiarity with all college programs and articulation agreements.
Attain familiarity with support programs, e.g., Section 30, that support student enrollment, Accuplacer, LOEP testing and others.
Attain familiarity with all college policies and procedures.
Assist in all College functions including but not limited to, orientations, open houses, campus tours, welcome sessions, commencement, honors Convivium, community, and College meetings as assigned.
Participate in relevant professional development opportunities.
Participate in mandatory training/coursework, as assigned, including but not limited to:

Title IX and Sexual Misconduct
Sexual Harassment and Non-Discrimination
Security Policy and Notification of Security Reporting
FERPA
Municipal Ethics Laws

Perform other duties as assigned.
