Executive Assistant
POSITION SUMMARY:
This highly visible position is responsible for providing administrative support to the Senior Leadership Team (SLT) with emphasis on organization and efficiency.
ESSENTIAL DUTIES:
- Providing direct support to assigned senior leader(s) or function(s), including:
- Answering telephone calls and messages
- Scheduling meetings and maintaining calendars
- Arranging travel
- Prepare, reconcile, and submit expense reports
- Preparing presentations
- Preparing and submitting written correspondences (internal and external)
- Coordinating meeting logistics, including booking conference rooms and ordering lunches
- Create and maintain filing systems
- Run reports and maintain KPI dashboards
- Determining priority of matters of attention for the CEO; redirect matters to staff to handle
- Advising SLT of time-sensitive and priority issues, ensuring appropriate follow-up
- Responsible for planning meetings that involve senior management; including sitting in on the meeting and taking meticulous notes, as well as keeping the meeting on task
- Responsible for managing and/or providing support for employee welfare and corporate and social responsibility programs and events
- Sorting and triage of mail; maintain e-mail and other address directories
- Handling printing, faxing, mail/overnight packages, copying, filing, and email/messages
- May be assigned special projects for the site, including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material
- Order ad hoc office supplies
- Maintaining confidential and sensitive information
- Performing other duties as assigned

QUALIFICATIONS:
- Associates Degree preferred, High School Diploma/GED required in combination with extensive relevant experience (10 years) in lieu of college degree
- 3-5 years supporting senior leadership
- Demonstrated ability in handling confidential situations as the situation required.
- Proficiency in MS Office applications (Word, Excel, Outlook, PowerPoint, Teams)
- Ability to learn new and evolving software programs
- Strong attention to detail
- Excellent organization and time-management skills
- Manufacturing experience is a plus
