Accounts Payable Specialist is responsible for handling all aspects of the general and administrative accounts payable process for multiple companies. Responsibilities include establishing vendor relationships, preparing and maintaining vendor profiles, preparing and processing all forms of payables for payments; investigating and resolving invoice discrepancies with vendors; assisting financial reporting/accounting team.
Accounts Payable Specialist responsibilities and essential job functions include, but are not limited to the following:
- Establish and maintain relationships with new and existing vendors
- Perform due diligence tasks to ensure all vendors are legitimate
- Prepare and update vendor profiles in accounts payable software
- Code and enter invoices ensuring all necessary approvals are received and documented
- Reconcile purchase orders and invoices (3-way match)
- Prepare and process invoices for payment accurately and timely, ensuring payments are made in accordance with terms
- Audit and process credit card bills, check requests, and expense reports
- Reconcile monthly statements and transactions to ensure records are accurate and current
- Effectively investigate and resolve invoice discrepancies with vendors
- Assist financial reporting/accounting team to provide information, documentation and reports timely
- Assist with month-end and year-end financial close to support accounting system accuracy
- Comply with accounts payable policies and procedures framework, analyze workflow and recommend improvements
Qu al ifications, Knowledge, Skills, and Abilities:
- High school Diploma or GED required
- Associates degree a plus
- 1 year of accounts payable experience
- Previous logistics, transportation, domestic or international experience a plus
- Knowledge of accounts payable standard operating policies and procedures
- Must be proficient in data entry functions
- Must be organized, have keen attention to detail, and be accurate
- Must have customer service and problem-solving skills
- Must be able to handle multiple tasks within specified timeframes
- Must be able to meet vendor payment deadlines
- Must possess the ability to use sound judgment when making independent decisions
- Strong communication skills, both written and oral, and inter-personal skills, with the ability to clearly and effectively communicate with people in all levels of the organization
- Ability to work under pressure and meet deadlines, while maintaining a positive attitude and providing unmatched customer service
- Proficiency with Microsoft Office Suite
- Ability to read, write, and speak English fluently
