Job Purpose
Supports the Finance and Administrative Services Department by performing general accounting and payable functions, maintaining financial records, and contributing to the accuracy and integrity of Rawhides financial systems.
Essential Functions
- Post and pay invoices and deposits
- Reconcile bank statements
- Maintain and support computerized accounting ledgers and systems
- Administer and maintain the organizational credit card program
- Assist with financial audits, fixed assets, and year-end processes

Job Responsibilities

Accounts Payable
- Process invoices and purchase orders for payment in a timely and accurate manner
- Determine appropriate procurement methods for cost savings and credit card rebate opportunities
- Set up and maintain vendor files, including collection and electronic storage of W9s
- Prepare year-end vendor 1099s in compliance with federal regulations

Accounts Receivable
- Post deposits and cash receipts into accounting software (e.g., Sage) and MyEvolve system
- Assist with residential billing tasks and VP sales transactions as needed

Support Guys Account activity including cutting checks and posting receipts
Reconcile receipt activity and resolve discrepancies

Ledger Management & Bank Reconciliation
- Maintain and close month-end and year-end ledgers
- Reconcile multiple Rawhide bank accounts to ensure accuracy
- Investigate and resolve account discrepancies, including issuing stop payments or corrections
- Maintain depreciation schedules and ensure proper accounting of fixed assets

Credit Card Administration
- Serve as Subject Matter Expert (SME) on Rawhides credit card program and system
- Ensure user compliance with credit card policies and procedures
- Support credit card issuance, workflow, and general ledger integration
- Identify opportunities to streamline payment processes through increased credit card and ACH usage

Audit and Reporting Support
- Prepare spreadsheets and gather financial documentation for internal and external audits
- Assist with ad hoc reporting and projects for the Finance Manager and CFO
- Support maintenance and upgrades of accounting and credit card systems
- Monitor department email and gather documentation as requested

File Management & Documentation
- Create and maintain electronic filing systems for invoices and purchase order approvals
- Ensure all financial documentation is accurately filed and archived
- Gather and organize fixed asset documentation to support capital purchases

Maintain Professional and Technical Knowledge
- Completing required trainings
- Attending educational workshops
- Reviewing professional publications
- Participating in professional societies

Qualifications
- Associates degree required; degree in Accounting or Finance preferred
- 13 years of accounting, finance, or bookkeeping experience
- Strong analytical and organizational skills
- Proficiency in Microsoft Excel and ability to learn new systems with training
- Ability to manage multiple tasks and prioritize daily responsibilities
