Executive Assistant
How does the role impact the organization?
Reporting to one or more of the firm’s senior executive(s), the Executive Assistant is a key resource to the senior leadership team. The Executive Assistant is accountable for independent prioritization of the workload to ensure the identified objectives and deadlines are met and to ensure internal and external clients are handled in a courteous and friendly manner. This role is a resident role in the Toronto office a minimum of three (3) days per week. Presence for key meetings in-person is also a requirement of the role, e.g. Board or executive committees, visiting executives or guests, etc.
What will your role be responsible for?
- Providing full administrative support, including establishing and coordinating calendars, arranging and scheduling meetings, acting on telephone / mail requests received in the executive’s absence, and managing correspondence as appropriate;
- Organizing and pro-actively managing calendars, travel plans, and expenses for the supported executives, including arranging bookings, equipment and materials, responses of meeting attendees, and follow up as appropriate;
- Provide project-related support by verifying bills / expenses, statements and statement preparation, submit reports, and track completion of action items from meetings;
- Highly proficient in MS Products such as Excel, Word, PowerPoint and Outlook to provide support in the development of presentations, reports, and documents;
- Work effectively with different systems and CRM platforms
- Coordinate systems access requests and manage facilities’ needs;
- Work effectively with all levels of management and with external contacts;
- Coordinate social media activity
- Support other regulatory administrative staff and participate in training, work allocation and problem resolution; and
- Proactively identify opportunities to optimize processes to drive business results.
