Job Summary: We are seeking a reliable and detail-oriented Receptionist to join our team in the auto industry. The ideal candidate will have a basic knowledge of cars and a passion for customer service. This role requires someone who can manage a high call volume, multitask efficiently, assist with quotes, and handle payment processing. You will be the first point of contact for our customers and will play a key role in delivering exceptional service.
Key Responsibilities:
- Answer a high volume of incoming phone calls and respond to inquiries in a professional and timely manner.
- Greet and assist customers both in person and over the phone, ensuring a positive experience.
- Provide basic automotive information to customers, utilizing knowledge of cars and auto services.
- Prepare and deliver quotes for services and/or parts, ensuring accuracy and clarity.
- Process payments, handle cash, credit card transactions, and maintain accurate records.
- Bill insurance
- Schedule appointments for services, ensuring availability and efficiency.
- Maintain a clean and organized front desk area, keeping customer-facing materials updated.
- Assist with administrative tasks, such as filing, data entry, and managing office supplies.
- Work closely with the service and sales teams to ensure smooth operations and customer satisfaction.
- Handle customer complaints or concerns with professionalism and escalate issues to management as needed.
- Be willing to learn new software (Glassbiller)
- Handle incoming emails and reply in timely manner
Qualifications:
- Basic knowledge of automobiles and auto services.
- Previous experience in a receptionist or customer service role, preferably in the automotive industry.
- Ability to handle a high volume of calls while maintaining professionalism.
- Strong multitasking skills and attention to detail.
- Experience with payment processing and handling financial transactions.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) or equivalent.
- Strong organizational skills and the ability to prioritize tasks effectively.
