RE/MAX Lake of the Ozarks is seeking a dedicated and organized professional to join our team as the Director of Weekends/Listing Coordinator. As the Director of Weekends/Listing Coordinator, you will play a crucial role in providing support to our staff and ensuring the smooth operations of our main office. Your responsibilities will involve coordinating various office activities, maintaining listing files, assisting agents, and handling general administrative tasks.

Responsibilities:

Provide support at the Main office related to staff coverage during weekends and peak times.

Coordinate conference room usage, ensuring availability and scheduling as needed.

Audit and maintain company listing files in Paperless Pipeline on a daily basis, ensuring accuracy and completeness.

Complete Listing Withdrawals in Matrix and Pipeline upon request, following proper procedures and documentation.

Set up new agent mailboxes and remove departing agents from the mailroom, ensuring accurate and timely handling of mail.

Provide support to agents at both offices during weekends, assisting with any queries or issues that arise.

Conduct opening and closing procedures for the office, ensuring security protocols are followed.

Check office email regularly and respond to or distribute messages accordingly.

Take responsibility for Showing Time showing request appointments throughout each day, coordinating with agents and clients effectively.

Greet clients and agents entering the offices, providing a professional and welcoming atmosphere.

Provide general clerical support, including answering phones, filing, and assisting with administrative tasks as needed.

Maintain the cleanliness and presentability of reception and conference areas, including regular cleaning of bathrooms, trash disposal, and restocking of supplies.

Ensure the coffee area is kept neat and stocked with necessary supplies.

Distribute all incoming faxes and mail promptly and accurately.

Postmark and send outgoing mail daily, ensuring proper documentation and tracking.

Distribute daily mail to agents and associates, ensuring timely delivery and organization.

Regularly clean out vendor information and flyers from mailrooms on a monthly basis.

Qualifications:

  • High school diploma or equivalent; additional education or relevant certifications are a plus.
  • Previous experience in office administration or coordination roles is highly desirable.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong attention to detail and accuracy in handling documents and records.
  • Proficient computer skills, including experience with document management systems and office software.
  • Strong communication and interpersonal skills, with the ability to interact professionally with clients, agents, and colleagues.
  • Ability to work independently, take initiative, and problem-solve effectively.
  • Reliable and punctual, with the ability to work weekends as required.
  • Commitment to maintaining a clean and organized office environment.
