Overview
We are seeking a dedicated and organized Coordinator, with excellent customer service skills to join our team.
Duties
PARAGON SUPPORT
- Works with MLS Product Support & Training Manager to provide support for all MLS products.
- Responds to emails and answers phone calls from our members.
- Serves as backup in providing MLS product training.
- Collaborates in creating MLS product training content (hot tips, website, newsletter, etc.).
- Responsible for rule compliance on member IDX/VOW websites.
- Researchers reported compliance issues and communicates with vendors and members to resolve.
- Proactively checks all IDX/VOW websites for compliance at least once per year.
- Monitors delayed new IDX/VOW sites and communicates with vendor regarding delay.
KEYBOXES & eKEY APPLICATIONS
- Process eKey applications as needed to assist the Membership & Accounts Manager & Members
- Manages our keybox inventory.
- Processes requests for keyboxes.
- Maintains keybox agreement records according to our files.
- Creates new Office files as needed.
- Coordinates defective keybox removals/replacements/returns with Supra.
LISTINGS
- Responsible for checking Farm, Limited, and Rural documents for listings sent via email daily.
- In conjunction sending appropriate emails out to members if documents are missing and updating our database.
- Responsible for WiREx MLS checks and documentation on Spreadsheet daily; Collaborating with the Data Integrity & Compliance Manager as needed.
- Performs Street & Address Checks Daily, including maintaining listings as needed.
- Serves as back up in providing listing support including responding to emails, phone calls, and processing additional request from members.
EDUCATION
- Sends one email a week on current Real Estate news to the MLS group and provides a space for discussion in the weekly MLS Staff Chats
MONTHLY STATISTICS
- Collect the necessary data from the MLS Product Support & Training Manager to perform the Monthly Statistics.
- Enter data in Monthly Statistics Spreadsheet & add data to the corresponding graphs.
- Edit and update the Monthly Market Snapshot & Housing Market Update in Canva.
- Combine correct data into the Marketing Stats Report including adding data graphs.
- Send to Chief of Staff for review.
- Performs other such duties as assigned.
WORK ENVIRONMENT AND PHYSICAL DEMANDS
- Ability to walk, stand, and sit (including on the floor) for long periods of time.
- Must be able to lift and carry supplies weighing up to 40 pounds (i.e. case of keyboxes).
- Ability to stand or sit while maintaining alertness for several hours at a time.
- Position requires bending, leaning, kneeling, and walking.
- Ability to speak concisely and effectively communicate.
- Visual and auditory ability to respond to critical situations and physical ability to act swiftly in an emergency.
- Ability to view/enter data for long periods of time.
Qualifications
- Associate’s degree or equivalent experience in administration, customer service, or a related field.
- Two to four years of experience in membership services, customer support, or administrative roles.
- Real Estate experience or knowledge is recommended and ability to work on various databases.
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft business software, including Microsoft Excel and database systems.
- Proficiency in the Google suite.
- Ability to manage multiple tasks and maintain confidentiality.
- Excellent written and strong verbal communication skills to respond to member inquiries effectively.
