Responsibilities
- Manage and maintain filing systems to ensure efficient retrieval of documents.
- Handle incoming calls and inquiries through phone systems, providing excellent customer service.
- Perform clerical duties such as data entry, document preparation, and proofreading to ensure accuracy.
- Utilize Google Suite for creating and managing documents, spreadsheets, and presentations.
- Assist in organizing office operations and procedures to enhance productivity.
- Coordinate schedules, meetings, and appointments for staff members.
- Support the administrative team with various tasks as needed.
- Weighing and measuring vehicles, trucks, and other materials
- Ensuring vehicles meet legal size and weight limits
- Inspecting vehicles for compliance with safety laws
- Issuing citations for violations
- Maintaining records and generating tickets
- Responding to public inquiries
- Reporting road hazards and violations
- Investigating complaints
- Preparing reports
- Operating and maintaining scales
Additional duties
- Logging in and out of trucks, trailers, and field equipment
- Preparing product receivers for incoming inventory
- Answering phones
- Managing and enforcing record retention
- Enforcing company policies and procedures
- Responding to requests from customers
- Promoting teamwork
Requirements
- Proven experience as an Office Administrator or in a similar clerical role.
- Proficiency in using computer systems and office software, particularly Google Suite.
- Strong customer service skills with the ability to communicate effectively both verbally and in writing.
- Excellent proofreading skills with attention to detail.
- Ability to manage multiple tasks simultaneously while maintaining organization.
- Familiarity with office equipment and phone systems is preferred.
- A proactive approach to problem-solving and a willingness to learn new processes.
