Statement of Duties and Responsibilities:

ESSENTIAL:

1. Meets public and performs receptionist duties ; gives and receives information, answers phones. May perform counterwork by answering public questions on agency programs and services and assisting the public in filling out forms and applications. May receive funds and issue receipts.

2. Processing incoming and outgoing mail maintains postage meter; records incoming checks and cash in receipts book, while copying checks for disbursement to appropriate program directors.

3. Responsible for data entry of initial documentation, client files, and updating the CAP60 database. Responsibility includes addressing and correcting missing data.

4. Maintains office filing, client files, and file cabinets. Keeps all application forms on file.

5. Maintains front desk, donations area, and waiting areas.

6. Assures that brochures are adequately available to the public and displays are filled.

7. Responsible for copy room equipment, office supplies, bathroom supplies, cleaning supplies, upkeep, and maintenance.

8. Responsible for opening the office at the start of the day and securing the office at the end of the day. Coordinates office cleaning crews.

9. Exhibits a professional attitude towards the position, duties, and agency. Exercise creativity, initiative, and sound judgment. Leadership, teamwork, and relationship skills are also required.

10. Report to appropriate persons; situations of visible signs of child abuse and neglect or clients struggling with substance abuse, mental and emotional disorders, and other pressures.

11. Maintains maximum efficiency in the use of time, materials, equipment, and vehicles.

OTHER RESPONSIBILITIES:

1. Travel as required.

2. Performs other duties or committees (internal, statewide, regional or national) as assigned or requested.

3. Attends staff meetings as required.

Education/Training

High school diploma or equivalent; One year of technical education or college courses or Secretarial courses

· Experience in an administrative environment.

· Knowledge of modern office practices and procedures.

· Strong computer & dat entry skills.

· Ability to communicate effectively, verbally and in writing, and exhibited good public relations skills.

· Valid driver’s license and insurance.

· Skill in typing, spreadsheets, and document preparation.

· Excellent organizational and time management skills

· Good problem-solving skills.

· Ability to work independently under the general direction of the supervising team.

· Demonstrate the ability to communicate and effectively interact with people across cultures, ranges of ability, genders, ethnicities, and races

Ability or experience in Web Design and maintenance is a plus

Working Conditions and Environment: This position has good working conditions in general; the noise level in work environment is usually quiet.

Physical Requirements/Activities: Standing, walking, climbing, balancing, kneeling, bending, carrying, reaching, crawling, squatting, pushing, pulling, lifting, twisting, gripping, talking, typing, repetitive motions, hearing/listening, seeing/observing.

Sedentary to light work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary to light work involves sitting approximately 50% of the time. Also, involves exerting up to 25 pounds of force intermittently or up to 50 pounds infrequently.

Job Type: Full-time

Pay: $18.00 - $20.00 per hour

Expected hours: 40 per week
