Job Goal:
Provide secretarial assistance for an orderly, efficient, and professional office atmosphere in support of the ESC’s goals and objectives.
Qualifications:
Education:
High school diploma or GED
Experience:
Two years of experience as a secretary
Special Knowledge and Skills:
- Basic proficiency in the use of software packages related to office operations
- Basic math skills
- Strong organizational, interpersonal and written communication skills
- Ability to enter data using spreadsheets and create reports, tables and graphs
- Ability to exercise initiative, make decisions and maintain confidentiality
Preferred Qualifications:
Bilingual; able to read, write, and speak proficiently in English and Spanish
Major Responsibilities:
- Assist in providing program information services to customers.
- Support specialists in assigned certification program area.
- Acquire training and maintain necessary skills in specific software programs needed for area of support.
- Enter data to maintain current program and certification records.
- Create and proofread service agreements and accompanying file for ISO forms and accuracy before submitting documents for approval.
- Answer emails and phone calls in a timely manner.
- Assist specialists with travel arrangements.
- Take inventory and order supplies.
- Verify all requisitions, expense forms, direct pays, invoices, purchase orders, and interdepartmental bills have been assigned to the correct budgets and that all necessary paperwork for payment has been included for processing.
- Provide technical assistance and services as specified by any applicable federal grant that funds this position.
