Job Summary:

The Executive Assistant (EA) will help to advance company initiatives and goals through support of the President and the executive leadership team. The is role is critical to our success and can be more than a traditional administrative position as the EA is responsible for representing our brand, events planning, customer service, charitable giving, and driving culture and engagement initiatives. Ability to work independently, highly organized, detail oriented, and precise; compliance and customer focused; collaborative, skilled at using Microsoft office programs, excellent writing skills, along with the ability to multitask, are skills and experience required for success in this role.

This is an onsite role for our Tampa, FL headquarters/home office site.

Key Responsibilities:

  • Manage scheduling for company executives; calendaring meetings, deadlines, and events.
  • Performs clerical and administrative tasks including drafting letters, emails and memos, taking notes, managing invoices, preparing reports, and other documents for the executive leadership team.
  • Draft, review and send communications on behalf of company executives.
  • Coordinate travel arrangements and complete expense reports, for domestic and international travel.
  • Organize and prepare for meetings, including gathering documents and coordinating the logistics of the meetings. May include coordinating meetings with industry executives and high level government representatives.
  • Proofreading business documents. Collect requested information and prepare into presentations, such as Programs Review, Operations Plans, Strategic Plans.
  • Organizing files in alignment with record retention and records holds, etc.
  • Answer and respond to phone calls, communicate messages and information to the executives and others functional groups when needed.
  • Events Coordination – planning and executing company events, participation in shows, meetings, briefings, off-site events, etc.
  • Coordinate approved charitable contributions and events.
  • Coordinate site culture and engagement initiatives.
  • May support procurement of office related items.
  • Represent the company brand in a professional manner to internal and external customers, candidates, suppliers, professional organizations, etc.
  • May recruit, interview, and train other administrative staff.
  • Assist with other administrative duties as required.

Required Qualifications/Experience:

  • High School diploma or GED; Plus a minimum of 2 years of relevant EA experience and 4 years administrative assistant experience.
  • Ability to work independently, confident in abilities, but seeks help when needed, and anticipates next steps.
  • Self-starter that will work independently in time-sensitive environment. Ability to multitask in a stressful and fast paced environment with specific deadlines.
  • Excellent communication skills, both verbal and written; capable of interpreting and effectively communicating information to other employees.
  • Strong computer skills and working knowledge of Microsoft Office suite, with the capacity to learn new systems and/or updated software.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Excellent organization skills and attention to detail.
  • Uses good judgement and has sound decision making and problem-solving skills.
  • Keeps private matters private and understands and respects the confidential nature of company proprietary records.
  • Acts with integrity, works collaboratively, meets commitments, and strives to continually improve processes.
  • Must be authorized to work in the U.S.

Preferred Qualifications:

  • Associate degree and/or Bachelor’s degree.
  • Defense industry experience to understand programs, terminology, and customers.
  • Marketing experience to support brand recognition and events.
  • Proficiency in additional languages, such as Turkish, is a plus.

Other Requirements:

Travel: Possible infrequent visits to other Repkon USA locations.

Work Environment: Office work environment.

Background Investigation / Drug Screen / US Person: Required.

Job Type: Full-time

Pay: $58,000.00 - $90,000.00 per year
