Job Title: HR Assistant (Operations & Support Coordinator)

Reports To: Director of Accounts& Payroll
Compensation: $4,000–$5,000/month(based on experience)
Role Purpose
The Operations & Support Coordinator serves as central operational hub, ensuring smooth execution of critical administrative functions across departments. This role maintains efficiency in onboarding, compliance, training, and administrative operations while providing essential support when leadership is off-site.
Primary Responsibilities
Onboarding & StaffAdministration (30–50%)
- Manage employeedocumentation from application through onboarding
- Track and follow up on outstanding paperwork and weeklytimesheets
- Support accurate data entry into internal systemsused for HR and payroll
- Coordinate with payrolldepartment to ensureprocessing readiness
Compliance & Credentialing Support (20–35%)
- Assist with tracking licenserenewals, health records,and regulatory documentation
- Support CORI submissions and follow-up processes
- Help prepare for internal/external audits and inspections
- Serve as backupfor credentialing functions during absences
Training & Orientation Coordination (15–25%)
- Schedule and coordinate EmpowerCare Academy sessions and orientations
- Maintain comprehensive training records and attendance tracking
- Send communications regarding traininglogistics and requirements
- Support training materialpreparation and distribution
Business Operations Support (5–15%)
- Track business licenses and renewal deadlines
- Maintain organizedfiling systems for critical documentation
- Generate weeklystatus reports for leadership
- Facilitate interdepartmental communication for smooth operations
Success Metrics
- 100% compliance with documentation deadlines
- No missed license or certification renewals
- 95% on-time completion of payroll preparation tasks
- Positive feedback from cross-departmental stakeholders
Qualifications
Required:
- 2 years experience in administrative support,operations, or healthcare admin
- Exceptional attentionto detail and follow-through abilities
- Strong writtenand verbal communication skills
- Proficiency with office software and documentation systems
- Demonstrated ability to manage multiplepriorities independently
Preferred:
- Experience in healthcare staffingor regulated environments
- Knowledge of compliance requirements in healthcare services
- Bilingual abilities
- Experience with payrollor HR systems
