Summary:
The Administrative Assistant at Revive plays a vital role in ensuring efficient office operations by supporting staff and leadership with administrative, clerical, and organizational tasks. This position contributes to Revive’s mission by maintaining a professional, organized, and supportive environment for patients and team members in the substance use and mental health services setting.
Essential Duties and Responsibilities:
- Greet and assist visitors, clients, and staff in a professional and welcoming manner.
- Answer and direct incoming phone calls; take messages and follow up as needed.
- Maintain and organize physical and digital filing systems.
- Schedule appointments and meetings, and coordinate room reservations as necessary.
- Prepare and proofread correspondence, reports, and other documents.
- Order and track office supplies and maintain supply inventory.
- Assist with data entry, recordkeeping, and updating internal systems.
- Distribute incoming mail and handle outgoing correspondence.
- Coordinate with vendors and service providers as needed.
- Support billing, scheduling, and clinical teams with basic administrative tasks.
- Maintain confidentiality of sensitive information in compliance with company policy and HIPAA regulations.
- Other duties as assigned.
Supervisory:
This position does not oversee staff.

Education/Experience
High school diploma or equivalent required; associate’s degree preferred.
Minimum of 2 years of administrative support experience.
Experience in a healthcare or behavioral health setting preferred.

Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace.
Ability to prioritize tasks and meet deadlines.

Work Environment:
The work is typically performed in a clinical setting with moderate noise levels. Frequent contact with patients and the general public is required.
Physical Demands:
- Ability to work in a fast paced environment including standing, sitting, climbing stairs and/or walking throughout the shift.
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 30 pounds regularly and 50 pounds on occasion.
