Provide administrative support to the ensure the smooth operation of the office functions of Richardson's Marine Repair, Inc.
- Bookkeeping and Data Entry
Setup, process and pay bills utilizing Quickbooks
Process and pay payroll including taxes and tax returns
Process sales tax returns and payment
Process customer payments in service management system and Quickbooks Prepare deposit for checks received
Reconcile bank statements and general ledger accounts
Run reports as requested from Quickbooks and the service management system Communicate with, and respond to information requests from outside accounting firm
Create spreadsheets as required for business analysis purposes
Assist with periodic reconciliation of inventory
Enter customer and service information into the service management system
Process journal entries in Quickbooks
- Administrative Support and Office Coordination
Answer phone calls and emails and direct them to appropriate staff members Greet and assist customers
Provide customers with information about service offerings
Respond to customer inquiries and complaints, including researching issues
Schedule customer appointments, including coordinating staff time Prepare and distribute internal memos as required
Maintain organized systems for customer and vendor files
Order and maintain office supplies
Maintain a clean and organized office environment
Assist in coordinating staff meetings and events
Assist with partner (e.g., Mercury Marine, Volvo) coordination and documentation Support organization and staff certification processes
Interface with organization's vendors
Other office responsibilities as assigned by the business owner
- Requirements:
Proven experience in an office administrative role, preferably in a service - oriented environment
Accounts receivable and payable processing experience
Excellent organizational and multitasking abilities and strong attention to detail
Strong communication and interpersonal skills
Ability to manage customer communications in a professional manner Familiarity with office management procedures
Experience with basic accounting procedures such as reconciliations and financial report generation
Ability to work in a dynamic environment
Oriented to improving processes and creating efficiencies
Knowledge of Quickbooks or similar accounting system
Knowledge of service management systems a plus
Job Type: Full-time
Pay: $21.00 - $25.00 per hour
