JOB DESCRIPTION

Position: Secretary to Assistant Superintendent/Transportation

Immediate Supervisor: Assistant Superintendent

Days: 260 Days

Job Goal: Serve as the Secretary to the Assistant Superintendent. Schedule appointments, and provide information to callers, coordination of transportation services.

Qualifications: Minimum qualifications shall be at least a high school diploma or its equivalent. Ability to operate a personal computer and related software. Ability to interact positively with school and community. Ability to develop effective working relationships with staff and school community. Ability to perform duties with awareness of all district requirements and board policies. Typing, filing, organization, communication skills, while working as the secretary to the assistant superintendent. Experience with Transportation duties as outlined below. Possess a valid CDL with “S” endorsement and a valid state of Indiana school bus driver certification card as early as August 1, 2025.

Duties and Responsibilities:

· Welcome visitors, screen phone calls, take messages for Assistant Superintendent

· General typing of correspondence, memorandums, and other assigned duties

· Compose routine office correspondence, reports, and announcements

· File correspondence neatly and accurately

· Ability to handle confidential information with complete security

· Operate office equipment and arrange for needed maintenance or repairs

· Responds to inquiries from a variety of internal and external parties (e.g. staff, parents, students, public agencies, etc.) to provide information, facilitate communication among parties, and/or provide direction.

· Make arrangements for conferences and meetings when appropriate

· Work with Assistant Superintendent to update NEOLA policies

· Cooperate with and assist other central office personnel when needed

· Transportation:

a. Schedule bus routes and make appropriate changes throughout the year

b. Assign extra-curricular field trips.

c. Verify and approve transportation hours in Time Clock

d. Keep track of bus routes and extra-curricular trips by drivers in an attempt to keep the amount as equal as possible between drivers using the rotation system

e. Correspond with the Department of Education, Division of School Traffic Safety, regarding safety workshops and obtaining certification cards for drivers

f. Assist parents and/or staff regarding bus stops for students using the Here Comes the Bus app

g. Prepare agendas for transportation staff meetings

h. Help schedule special needs bus routes including out-of-district and mid-day routes

i. Arrange substitute bus drivers if necessary

j. Assist with the Summer School Program - type postings, class offerings, bus routes, letters to hire summer school personnel

k. Responsible for corporation buses passing state inspections

l. Assist mechanic in maintaining all buses and oversees maintenance

m. Facilitates the purchase of all parts and supplies for the transportation department in consultation with the director of business services/treasurer

n. Advises director of business services/treasurer on the purchase of new vehicles

o. Attend staff/board meetings as requested

p. Handles all concerns from parents or school administrators

q. Responsible for RFCSC passing annual drug and alcohol audit conducted by ISP

r. Evaluate personnel as required

s. Advises Superintendent/designee on decision to cancel/delay school due to inclement weather

t. Serve as a substitute bus driver/bus matron as needed

u. Any other duties as assigned by the Assistant Superintendent

Occasionally lift materials weighing 25 - 35 pounds.
