What are the responsibilities and job description for the Part-Time Accounts Payable Coordinator position at RJ Kielty?
This position is based out of our New Port Richey office and is part-time, requiring approximately 25-30 hours per week. The schedule is flexible between 8 AM and 4 PM, Monday through Friday. After 90 days of employment, you will be eligible for paid holidays, sick days, and bereavement leave.
This position is responsible for matching all material receivers to their corresponding invoices and entering them into the PO system for payment across all three locations. Ensure the accuracy of PO pricing. Oversee the creation of POs and the daily receipt of materials into the PO system. Ensure that bills are paid by the 10th of each month. On the 10th, generate a batch report from the PO system, reconcile all invoices for payment, and process checks through QuickBooks. Once completed, mail the checks and file invoices and reports.
Key responsibilities include:
- Confirm that each invoice is accompanied by a corresponding receiver.
- Verify PO and invoice numbers, and ensure the dates are accurate.
- Responsible for reviewing and approving invoices to ensure accuracy before payment is made.
- Review all pricing to verify that we are not being overcharged for any materials. If discrepancies are found, consult with the Purchasing Agent.
- On the 10th of every month the payables are due.
- Invoices to be validated against statements.
- Batch reports are generated through the PO system and reconciled with invoices marked as "Ok to Pay."
- After reconciling the batch reports with the statements, enter the data into QuickBooks.
- When all data is entered run all the checks for payments.
- Send a copy of the batch report along with a check to each Vendor.
- Once completed, file the month that has just been paid.
- Pay fuel and credit card statements, reconcile them, and enter the information into QuickBooks.
- This role includes cross-training in Accounts Receivable to act as a backup when needed.
