Project Coordinator (Expediting Focus)

• Contact vendors, verify supplies, manage supply requisition, and communicate with suppliers to determine expected delivery dates and inform management of potential delays
• Monitor project material delivery timelines against production schedule
• Review and track all orders
• Look for ways to decrease shipping time
• Solve any issues related to shipping delays
• Build trusted working relationships with team members and vendor partners
• Solve missing information for the receiving department
• Maintain and update procurement logs with delivery dates, tracking information, and status updates.
• Communicate regularly with suppliers to confirm delivery schedules and address potential delays.
• Work with suppliers to mitigate risks of delayed shipments and identify alternative solutions when necessary.
• Escalate and resolve issues that may impact project timelines or budgets.
• Assist with quoting materials by gathering and analyzing supplier information.
• Reconcile invoices to ensure alignment with purchase orders and resolve discrepancies.
• Collaborate with project managers, warehouse staff, and other departments to meet operational needs.
• Assist in placing orders to ensure the best pricing, delivery, and value on majority of orders.
• Enter purchase orders accurately into Company management systems.
• Proper identification of materials and accuracy is imperative.
• Liaise and rectify purchase order errors or corrections with Accounts Payable.
• Ensure accuracy of purchase orders to allow for purchase discounts with vendors.
• Verify and report on price changes on purchase orders.
• Update vendor information files.
